JOB SUMMARY
Under the direction of the Director of Career Services, the Outreach and Data Entry Specialist is responsible for accurately entering, managing, and maintaining program participant records and performance data. This role plays a critical part in ensuring compliance with funding requirements, tracking participant progress, and supporting overall program operations through precise data management.
ABOUT YOU
You have a professional demeanor and have experience in communicating with potential funders via letters, emails and phone. You are innovative, imaginative and provide a positive role model for participants and staff.ย  You are also independent with regards to judgment, initiative and possess advanced administrative skills.
QUALIFICATIONS:
  • Demonstrate cultural competency, sensitivity to and understanding of the diverse academic socioeconomic, cultural, abilities and ethnic backgrounds of the community
  • Possess a valid driver's license; willingness to travel locally using own transportation to conduct work assigments
  • Must have demonstrated strong communication and people skills
  • Strong computer skills, including Word, Excel and Data Entry

WHAT YOUโ€™LL DO:
  • Accurately input participant information into internal databases and external systems (e.g. funder portals)
  • Maintain up-to-date records on participant enrollment, attendance, milestones, credentials, job placements and outcomes
  • Review data for discrepancies and work with program staff to ensure accuracy and completeness.
  • Generate reports and summaries to support performance tracking and reporting needs
  • Assist with organizing digital and physical files related to program documentation
  • Support audits and monitoring visits by ensuring timely access to accurate data
  • Uphold confidentiality and data security standards at all times
  • Complete all duties in accordance with grand funders' protocols, SIJCC policies and procedures, and local, state and federal labor laws
  • Documents and maintains complete and timely records of all work activities including outreach, attendance at events, contacts with participants and employers, follow-up activities, and outcomes
  • May be required to perform other related job duties assigned by the supervisor.
  • Update and maintain Database of Training Program participants
  • Oversee Career Connections Event registration such as Job Fairs, THRIVE Expo, etc.
  • Follow up with Career Connection Alumni and enterย updated job status
  • Update database with additional columns for deliverables
  • Assist with additional tasks as needed.
PREFERRED REQUIREMENTS:
  • High School diploma
  • Minimum 3+ years' experience doing data entry and outreach for a private or public sector agency
  • Principles of marketing and public relations a plus
  • Strong computer skills, including knowledge of digital and social media marketing and recruiting and basic internet research techniques
  • Must have excellent verbal and written communication skills and strong interpersonal and networking skills to initiate development,and maintain relationships with employer prospects as well as program participants.
  • Ability to multi-task and work well in a team atmosphere
  • Proficient computer knowledge and skills
  • Excellent written and verbal communication skills, as well as organizational and programmatic skills

SALARY
$40,000 Annually
This is a full time and in-person position.
