Position Overview:
The Bilingual Case Processing Specialist serves as a frontline staff member responsible for transitioner intake, assessment, data management, and operational support across all shelter areas. This position ensures accurate documentation, thorough assessment, and appropriate service coordination through comprehensive interviews, trauma-informed engagement, and proficient use of data management systems. The Case Processing Specialist maintains a welcoming, professional presence while managing critical data entry and services. This position includes 24/7 coverage, and may include overnight shifts, evenings, weekends, and holiday coverage.
Essential Functions:
Case Documentation & Administrative Processing
  • Prepare, review, and maintain immigration case documentation in accordance with ICE procedures
  • Organize and maintain case files and supporting documentation related to immigration proceedings
  • Assist with preparation and verification of case packets, administrative records, and supporting materials
  • Ensure case documentation is complete, organized, and compliant with federal documentation standards
  • Maintain strict confidentiality when handling sensitive personal and legal information

Data Entry & Records Management
  • Accurately enter and update case information in ICE systems of record and other designated databases
  • Maintain detailed electronic records and ensure timely updates to case status and documentation
  • Conduct routine quality checks to ensure accuracy and completeness of case data
  • Track case processing activities and documentation throughout each stage of the processing workflow
  • Generate reports or documentation summaries as requested by supervisors or government personnel

Case Tracking & Processing Support
  • Monitor case processing timelines and ensure required documentation is submitted within established timeframes
  • Track case status updates and assist with administrative coordination of processing activities
  • Coordinate documentation flow between processing teams and government personnel
  • Assist with preparation of materials related to immigration proceedings or removal processing

Intake & Identity Verification Support
  • Assist with administrative intake procedures for individuals undergoing processing
  • Verify identification documents and ensure accurate documentation of personal information
  • Support administrative intake procedures by preparing documentation packets and intake records
  • Assist with documentation related to biometric intake processes when required
  • Assist with personal property intake, inventory documentation, storage coordination, retrieval, and return

Communication & Coordination
  • Communicate professionally with ICE personnel, supervisors, and other facility staff
  • Relay administrative updates and case documentation status to appropriate personnel
  • Support coordination of daily administrative operations within processing teams
  • Assist in facilitating efficient workflow across case processing functions
  • Provide administrative support for mail handling operations

Compliance & Documentation Control
  • Ensure all case documentation complies with federal privacy, security, and record-keeping requirements
  • Maintain chain of custody for sensitive records and documentation
  • Follow established protocols for documentation retention and handling of confidential records
  • Immediately report documentation discrepancies or compliance concerns to supervisors

Knowledge and Skills
