Title: Data and Student Information Entry Specialist
Qualifications:
- Associate's Degree or higher
- 5 years of previous experience working with student database systems preferred
- Excellent human relations and communication skills
- Ability to work cooperatively with staff, students, and parents from a variety of racial, ethnic, linguistic, cultural, and socioeconomic backgrounds
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite
- Willingness to attend professional trainings on a regular basis
- Work with a high degree of accuracy
- Ability to troubleshoot independently

Objective: To ensure the smooth operation of student data-base systems in the district.
Performance Responsibilities:
- Student Enrollment: Collect and enter any new student enrollment forms, assign ID numbers, enter student information in skyward including general profile information including name/address/DOB/etc , enter local and federal race information, enter enrollment date and transfer information when applicable, assign an counselor, locker, coordinate bus information with the Transportation Director, create a cumulative file and enter transfer grades into grade history when applicable.
- Student Withdraws: After a withdraw is initiated-email all teachers and inform them of the withdraw, coordinate with the counselor to collect transfer grade form, print a transcript label from the current academic year, make all completed grades historical, update entry/withdraw information including date of withdraw and status of student (home school, transfer, drop etc ) corresponding to the correct course code, coordinate with Transportation Director about the withdraw, print a copy of the schedule, print a transcript to verify all grades are posted and delete any classes that are not completed.
- Status Changes: Coordinate with the Special Education Director to update Skyward when students receive services, are dismissed from services, or change placement. Update skyward with appropriate resident and serving school state codes.
- Registration-Winter: Update current course guide with any changes submitted by the Team Leaders, proof-read all changes and update all NCAA information, testing information, and scholarships. Update all course request worksheets and student request selection sheets and adjust requirements/course names/remove inactive classes and print for each grade level. Contact feeder schools and coordinate registration dates. Compile registration packets for the counselors to take to registration. Cross-check all registration information with upload data from incoming 9th grade upload, enter all course requests 9-12. Make sure each student has 8 credits, all necessary requirements, and at least 2-3 alternates marked on their registration sheets.
- Course Master Maintenance: Update course master with all new courses, research and tie to appropriate state course codes, assign correct credits and GPA scale, create sections. Make all classes that are not running inactive. Update and tie CT sections to the general education sections
- Credit Checks: Evaluate all student transcripts for accuracy including-number of classes, number of credits, GPA points, progress on graduation requirements, missing graduation requirements, update senior "on track" spreadsheet, make a list of missing requirements/students who are not on track to graduate for the appropriate counselor. Correct grading/credit errors in class history and verify changes via a printed transcript. Update credit check binders for each counselor so they can double check their own credit checks. Run credit check letters for each student and give them to the appropriate counselor to double check and sign.
- Registration-Summer: Print all student schedules and verify they have complete schedules, flag any schedule that is incorrect or missing classes for the counselor, compile registration packets for any new students, after registration go through paperwork, enter any new students in skyward and refer to the counselor for a schedule.
- Regular Reporting: Run regular reporting throughout the year including the End of the Month Report, scholarship specific reporting, transaction reports, repeated courses reports, student locator report etc
- Semester Grade Reporting: Collect and sort all grade proof sheets, run transcript labels and verify credits are calculating correctly, run blank and NA reports and correct errors, verify the students who are ranked/not ranked and balance with end of the month reporting, run a draft rank, verify GPA by hand-figuring the top 10 in each class along with students who are at Eagle Academy, Parkland, other unique scheduling situations , correct errors when found. Once all data is verified, run report cards and rank without saving again, verify and when found accurate post grades.
- Summer School: Prepare failure reports for the summer school Principal, clone summer school entity, set up new courses in the summer school entity, clone gradebooks, update gradebooks, schedule students once summer school begins, verify grades at the end of summer school, run new transcripts, do new credit checks, adjust previous credit check documents and update on track data for the counselors, ensure all summer school students are exited from summer school.
- SIS Reporting: Work with the Principal to enroll new students in SIS, enter SIS numbers in skyward, verify general profile information with SIS such as year in school, race, ethnicity, update and verify student course assignments so no errors are present prior to uploading, monitor and ensure all locate and assign data is accurate in SIS. Work with the Principal to learn other SIS reporting not limited to: testing updates, end of year reporting, teacher assignments, etc
- Testing Maintenance: Run reports for counselors in charge of testing, validate enrollment data for testing uploads, upload all student testing scores for state required testing and local MAP data in Skyward so it can be printed on the transcript.
- Customer Service: Maintain a friendly and confidential work environment, interact with all staff, students and parents in a highly professional manner. Maintain regular attendance and communicate clearly with all staff, students and parents about student data and data systems.
Terms of Employment: The work year for this position will be a 12 month term. Starting salary will be $20.00/hour. Additional compensation based on experience.
Evaluation: Performance will be evaluated by the Assistant Superintendent
