As a NOC Office Assistant Senior ( Night Shift Office Assistant Senior) you will provide essential administrative and customer-service support to facility administrators within a dynamic, 24/7 multi-facility environment. Key responsibilities include maintaining mandatory staffing levels for day and night shifts, conducting time entry reviews, and collaborating with leadership to ensure operational compliance. In this role the incumbent will demonstrate proficiency with computer systems, including EPIC, Google, ESWIS, and other database tools.

As theNOC Office Assistant Senior, you will:

Shift Coverage & Schedule Monitoring

  • Stakeholder Collaboration and Contract compliance : Work with management to find economical staffing solutions that align with ONA and Local 88 rules.

  • Systems Maintenance: Independently update Google Drive schedules, tracking availability and time entries via shared sheets and calendars.

Workday Support and Time Entry Review

  • Schedule Preparation and Coverage: Formulates uniform schedules for every facility, prioritizing NOC and daytime rotations while organizing relief for both anticipated and emergency leave.

  • Time Entry Audits: Review Workday entries for accuracy and pay consistency.

  • Support & Resolution: Provide staff resources, resolve discrepancies, and assist supervisors with scheduling errors.

Medical Transcription

  • Transcription & Order Management: Transcribes provider medical orders in Epic and ensures accurate clinical data entry.

  • Clinical Coordination: Manages ESWIS patient follow-up protocols, including scheduling labs, updating Sapphire, and arranging appointments and specialty visits.

  • Financial & Records Administration: Executes billing for Corrections Health inmate services and processes health information and special records release requests.

  • Support Services: Provides referral support and maintains inmate health documentation integrity.

Research & Data Management

  • Operations: Assists leadership with administrative tasks.

  • Compliance: Manages records for discovery and public requests.

  • Improvement: Evaluates operations to enhance service delivery.

Vendor and Order Management

  • Procurement: Orders supplies via Multco Marketplace with management approval.

  • Inventory: Maintains consistent stock levels for clinical needs.

  • Reconciliation: Verifies delivery accuracy against orders.

  • Financial Support: Coordinates special requests and supports finance with accounts payable/receivable.

Minimum Qualifications/Transferable Skills*:

  • Education/Training: Equivalent to the completion of the twelfth grade, AND
