Job Title: Executive AssistantJob Description

This Executive Assistant role is a fully onsite position based in Lebanon, TN, working standard business hours. You will provide high-level administrative support to company leadership while serving as the primary front desk representative and the face of the office. The position combines executive support, office coordination, front desk reception, and employee engagement activities in a fast-paced, professional environment. You will help ensure smooth day-to-day operations, create a positive office experience, and handle confidential information with professionalism and discretion.

Responsibilities
  • Provide comprehensive administrative support to company leadership, including managing calendars, scheduling meetings, and coordinating daily priorities.
  • Coordinate and schedule meetings, including reserving rooms, preparing materials, and ensuring all logistics are in place.
  • Arrange domestic travel for leadership and visiting guests, including flights, lodging, ground transportation, and related reservations and logistics.
  • Serve as the primary point of contact at the front desk for visitors, clients, and incoming calls, delivering a professional, welcoming, and customer-focused experience.
  • Prepare and format presentations, correspondence, reports, and other business documents using Microsoft Office applications.
  • Manage office operations, including ordering and maintaining office supplies, coordinating with vendors, handling mail distribution, and addressing facility needs.
  • Assist with planning and coordinating meetings, company events, team celebrations, and employee engagement activities to support a positive workplace culture.
  • Maintain organized records, schedules, files, and documentation, ensuring accurate and up-to-date information is easily accessible.
  • Handle confidential information and sensitive communications with a high degree of professionalism, discretion, and integrity.
  • Support special projects and administrative initiatives as assigned by leadership, adapting to changing priorities and business needs.

This is a Contract to Hire position based out of Lebanon, TN.

Pay and Benefits

The pay range for this position is $28.85 - $40.86/hr.
