Job Title: Executive AssistantJob DescriptionThis Executive Assistant role is a fully onsite position based in Lebanon, TN, working standard business hours. You will provide high-level administrative support to company leadership while serving as the primary front desk representative and the face of the office. The position combines executive support, office coordination, front desk reception, and employee engagement activities in a fast-paced, professional environment. You will help ensure smooth day-to-day operations, create a positive office experience, and handle confidential information with professionalism and discretion.
Responsibilities- Provide comprehensive administrative support to company leadership, including managing calendars, scheduling meetings, and coordinating daily priorities.
- Coordinate and schedule meetings, including reserving rooms, preparing materials, and ensuring all logistics are in place.
- Arrange domestic travel for leadership and visiting guests, including flights, lodging, ground transportation, and related reservations and logistics.
- Serve as the primary point of contact at the front desk for visitors, clients, and incoming calls, delivering a professional, welcoming, and customer-focused experience.
- Prepare and format presentations, correspondence, reports, and other business documents using Microsoft Office applications.
- Manage office operations, including ordering and maintaining office supplies, coordinating with vendors, handling mail distribution, and addressing facility needs.
- Assist with planning and coordinating meetings, company events, team celebrations, and employee engagement activities to support a positive workplace culture.
- Maintain organized records, schedules, files, and documentation, ensuring accurate and up-to-date information is easily accessible.
- Handle confidential information and sensitive communications with a high degree of professionalism, discretion, and integrity.
- Support special projects and administrative initiatives as assigned by leadership, adapting to changing priorities and business needs.
- Perform data entry and other administrative tasks to support efficient office and executive operations.
- Collaborate with colleagues across the organization to ensure smooth communication and alignment on schedules, meetings, and office activities.
Essential Skills- Previous experience providing administrative support to executives, leadership teams, or in an office operations role such as Executive Assistant, Administrative Assistant, or Office Coordinator.
- Demonstrated experience supporting leadership and managing complex calendars, including scheduling and prioritizing meetings.
- Experience coordinating travel arrangements and handling detailed logistics for domestic trips.
- Strong written and verbal communication skills, with the ability to interact professionally at all levels of the organization and with external visitors and clients.
- Exceptional attention to detail and strong organizational skills, with the ability to maintain accurate records and manage multiple tasks.
- Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint, for email management, document creation, spreadsheets, and presentations.
- Professional front desk or customer-facing experience, with a polished and welcoming demeanor.
- Ability to multitask and prioritize responsibilities in a fast-paced environment while meeting deadlines.
- High level of professionalism and discretion when handling confidential information and sensitive matters.
- Professional, proactive, and service-oriented approach to supporting leadership and the broader office.
- Strong interpersonal skills and the ability to build positive working relationships across the organization.

You will be based primarily at the front desk area, serving as the first point of contact for visitors, clients, and employees. You will work with standard office technologies and equipment, including computers, phones, and the Microsoft Office Suite, to support executive and office operations. The role involves regular in-person collaboration, event and meeting support, and coordination within a manufacturing facility setting, requiring a polished, professional presence and a consistent, customer-focused demeanor.
Job Type & LocationThis is a Contract to Hire position based out of Lebanon, TN.
Pay and BenefitsThe pay range for this position is $28.85 - $40.86/hr.
