Position Summary of Data Specialist
Data specialists are responsible for managing student enrollment, student records, compliance requirements, academic data, and reporting across multiple student information systems. This role ensures the accuracy and integrity of student data from enrollment through course completion while supporting state reporting, immunization compliance, grade processing, and operational data requests.
The ideal candidate is highly organized, detail-oriented, proficient in spreadsheets and data management, and comfortable working across multiple systems to support student success and regulatory compliance.
Key Responsibilities Enrollment amp; Student Records Management
  • Review student applications in PowerSchool Enrollment to ensure all required enrollment documents and records have been received.
  • Verify the accuracy and completeness of student information prior to enrollment.
  • Transfer and enroll students from PowerSchool Enrollment into PowerSchool SIS.
  • Ensure student demographic information, enrollment dates, and required fields are accurate and complete.
  • Maintain accurate student records and perform ongoing data quality reviews.
Compliance Management
  • Verify that all required information within the Compliance section of PowerSchool SIS is complete and accurate.
  • Monitor student records to ensure compliance with school and state requirements.
  • Conduct regular audits of student files and enrollment records.
UTREx amp; State Reporting
  • Ensure all enrolled students are properly reflected in UTREx Data Gateway.
  • Identify and resolve data discrepancies between PowerSchool SIS and UTREx.
  • Support state reporting requirements through accurate student data management and reporting.
Orientation amp; Enrollment Verification
  • Review weekly orientation rosters and confirm that all students are properly enrolled in PowerSchool SIS.
  • Verify that required student information and enrollment documentation have been completed before orientation.
  • Track student attendance at orientation sessions.
  • Process no-show students and update enrollment records accordingly.
  • Adjust enrollment dates as needed based on orientation of attendance and enrollment status.
  • Reconcile enrollment information using orientation spreadsheets and reports.
Immunization Compliance
  • Monitor student immunization records to ensure compliance with state and school requirements.
  • Identify missing or incomplete immunization documentation.
  • Follow up with students, parents, and guardians regarding outstanding immunization requirements.
  • Maintain accurate immunization records within the SIS.
Course amp; Grade Management
  • Upload grades into PowerSchool SIS and verify grade accuracy.
  • Monitor student schedules to ensure students are enrolled in the appropriate number of active courses.
  • Process course completion requests received from teachers.
  • Close completed courses in a timely manner and maintain accurate course records.
  • Ensure courses are not left open after completion.
Data Operations amp; Reporting
  • Assist staff with data requests and report generation from student information systems.
  • Perform data entry and record maintenance across multiple systems.
  • Pull reports and analyze student data as requested.
  • Conduct data cleaning and quality assurance reviews to ensure data accuracy.
  • Maintain spreadsheets and tracking tools using Microsoft Excel and Google Sheets.
  • Support operational initiatives through data management and reporting.
Required Qualifications
