Job description

GENERAL SUMMARY Salary: $14.60/hr. minimum - $17.52/hr. mid point (Depending on qualifications) Under direct supervision, provides clerical and administrative support for the Heritage Plaza Building/Visitors Center, Downtown Development, as a division of Economic Development

Employees in this classification perform clerical and public engagement duties. The position serves as the reception for Heritage Plaza visitors, and is responsible for answering emails, telephone calls, providing customer service, maintaining files/records preparing documentation, entering data, utilizing computer/software programs, stocking merchandise and maintaining, and processing transactions. Performs related work as required.

SUPERVISION General supervision is provided by Downtown Development Manager - Economic Development. ESSENTIAL DUTIES AND RESPONSIBILITIES All behaviors comply with the Code of Conduct and Rules of Behavior outlined in Chapter 8 of the General Government Policies and Procedures Manual. Adheres to assigned work schedule as outlined in city and department attendance policies and procedures.

Performs customer service functions in person, electronically, by telephone, and by mail: provides information/assistance regarding City, assembles and/or distributes forms, packets, or other documentation as requested; responds to routine questions or complaints; researches problems/complaints and initiates problem resolution. Performs data entry functions: enters, retrieves, reviews or modifies data in computer database; verifies accuracy of entered data and makes corrections. Performs accounts payable functions: includes entry into the city software system, communication with Finance department, and running budgetary and financial reports.

Processes contracts and assists with purchasing protocols. Assists with marketing initiatives: includes hospitality, social media support, and correspondence. Operates a computer, printer, general office equipment, telephone, digital camera, or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, e-mail, Internet, or other computer programs; performs basic maintenance of computer system and general office equipment, such as backing up data and maintaining digital files, or replacing paper, ink, or toner.

Communicates with supervisor, employees, other divisions/departments, vendors/service providers, contractors, consultants, customers, the public, outside agencies, and other individuals as needed to coordinate work activities, review the status of work, exchange information, or resolve problems. As a key holder, will be expected to open and close the office. As a front reception desk sales associate, processes transactions, restocks and inventories merchandise, helps with displays, and processes returned merchandise.

Handles reservations and use of conference and meeting rooms, assisting facility users with tech and equipment setup. Responsible for room preparation/cleanup and facility conditions before, during, and after use. Maintains a working knowledge of Mesquite's highways, transportation systems, public and private attractions and recreation areas, special events, ongoing activities, weather conditions, accommodations, city-wide and Downtown businesses, and other regional tourist attractions.

Ensures that Downtown and visitor information publications are well stocked in the brochure racks in the lobby, and disposes of outdated materials. Assists with special events, small business and entrepreneurial development meetings, and other promotional/educational activities. Modifies work hours as needed and agreed upon to accommodate event schedules, including holidays, off-site events, nights, and weekends.

Provides assistance or backup coverage for other employees as needed. Communicates with Downtown businesses, Downtown Development Board and Committees, and other Downtown stakeholders as directed. Schedule and attend board and committee meetings regularly; records and writes minutes of the meetings.

Maintains orderliness of the building, including but not limited to the reception area, conference room, meeting room, office supply/workroom, kitchen, public spaces, storage closets, restrooms, and storage room; manages supply inventory. Notifies building management of needed maintenance issues. OTHER DUTIES AND RESPONSIBILITIES Perform other duties as assigned or directed.

MINIMUM JOB REQUIREMENTS EDUCATION AND EXPERIENCE High school diploma or GED; supplemented by five (5) months previous experience and/or training involving general office work, reception work, sales experience, customer service, data entry, and personal computer operations; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Bilingual; read, write, and speak English and Spanish preferred. LICENSES AND CERTIFICATES Possession of a valid driver's license.

WORK SCHEDULE Monday - Friday; 9:00 a.m. - 2:00 p.m. Occasional evenings and weekends hours as needed PHYSICAL REQUIREMENTS / WORK ENVIRONMENT This position does not require a physical for employment
