Overall Responsibility: The Administrative Coordinator provides administrative and operational support across multiple departments while serving as a key resource for office coordination, scheduling, document management, and customer service. This role is designed for an individual looking to build a long-term career in operations and administration by developing progressively greater responsibilities beyond traditional clerical duties.
Essential Functions:
  • Provide administrative support to multiple departments while maintaining a high level of professionalism and confidentiality.
  • Coordinate calendars, meetings, conference rooms, and travel arrangements as needed.
  • Prepare, format, edit, and proofread correspondence, reports, presentations, and other business documents using Microsoft Word and Adobe Acrobat.
  • Maintain organized electronic and physical filing systems to ensure accurate document management.
  • Utilize Microsoft Outlook and Teams to coordinate communication, meetings, and scheduling.
  • Perform basic Excel tasks including data entry, tracking, and maintaining spreadsheets.
  • Respond professionally to internal and external inquiries, providing exceptional customer service.
  • Track action items and follow up on outstanding requests to ensure timely completion.
  • Assist with special projects and provide operational support to executive leadership and department managers.
