Job Description

Responsible for providing a broad variety of administrative, operational, and staff support services for the Special Assets Servicing team. Primary responsibilities include reviewing incoming legal matters and correspondence to identify document types, researching loan information and servicing records, establishing new case files, and routing matters to the appropriate internal business partners for resolution.

Actively engaged in document tracking, file maintenance, data entry, record keeping, and workflow coordination. Research servicing systems, including MSP, LoanSphere, and other internal platforms, to locate loans, obtain required information, and complete new file setups. Creates and maintains electronic files and uploads legal, servicing, and supporting documentation to designated systems in a timely and accurate manner.

Responsible for ensuring proper application of internal procedures, regulatory requirements, and department guidelines. Communicate effectively with attorneys, vendors, and business partners across multiple departments to obtain information, resolve issues, and ensure timely handling of legal and servicing matters. Uses Microsoft Office applications and other system tools to support daily operational activities. Specific job duties may vary based on departmental needs.

This role requires working from one of the following U.S. bank locations three (3) or more days per week: 2800 Tamarack Rd Owensboro, KY OR 1255 Corporate Dr Irving, TX

Basic Qualifications

  • High school diploma or equivalent
  • Two to four years of experience in administrative support activities


Preferred Skills/Experience

  • Good verbal, grammatical and written communication skills
  • Well-developed reading, writing, and mathematical skills
  • Ability to manage multiple tasks/projects and deadlines simultaneously
  • Ability to identify and resolve exceptions and to interpret data
  • Proficient PC skills, especially Microsoft Office applications and graphics

*Essential Job Functions*

  • Review incoming legal correspondence, pleadings, notices, and other documents to determine document type and route matters to the appropriate team member or department.
  • Research servicing systems to identify applicable loans and gather information required for onboarding and file setup activities.
  • Create and maintain new files within LoanSphere and other designated platforms.
  • Upload, organize, and maintain required legal, servicing, and supporting documentation.
  • Research loan information using MSP and other mortgage servicing systems.
  • Track document and workflow status to ensure timely completion of assigned tasks.
  • Communicate with attorneys, vendors, and internal business partners to obtain information and resolve routine issues.
  • Maintain accurate records and ensure data integrity across multiple systems.
  • Support departmental reporting, administrative activities, and special projects as assigned.
  • Follow established policies, procedures, and compliance requirements.
