Job description

The Sales Administration Representative I supports the sales team by handling day-to-day data entry, documentation, and administrative activities that keep equipment records accurate and operations running smoothly. This role is ideal for someone who enjoys organized, detail-oriented work and collaborating with both internal teams and external partners.
What You Will Do in This Role:
  • Perform high-volume, detail-oriented data entry in the DBS inventory system, ensuring all machine, attachment, and equipment details are accurate and up to date.
  • Manage the complete lifecycle of vendor orders-new, used, rental, and SITECH equipment-by reviewing requests, entering order information, placing orders, and tracking delivery status.
  • Maintain accurate digital and physical inventory equipment folders, ensuring all documentation for acquisitions and sales is complete, organized, and easily accessible.
  • Create and maintain product records, including assigning unit IDs, creating machine breakdowns, updating product profiles, and ensuring data consistency across systems.
  • Support Accounts Payable by entering invoice data, coding invoices, and researching discrepancies to ensure timely and accurate payment processing.
  • Conduct regular inventory audits and prepare daily, weekly, and monthly inventory reports based on precise data entry.
  • Assist sales teams by updating standard equipment configurations and maintaining a detailed library of Caterpillar machine specifications.
  • Provide administrative support including document preparation, correspondence, phone communication, and cross-training in various sales administration functions.
  • Participate in training and occasional travel to support operations at additional locations.
