Position Summary: 

We are looking for a Financial Data & Systems Analyst to join our Finance and Accounting team and support our mission-driven work. This role is ideal for someone who combines strong financial and accounting knowledge with data analytics, systems thinking, and a drive to improve how information and processes work across an organization. 

The Financial Data & Systems Analyst will work closely with the CFO and cross-functional teams to strengthen financial reporting, budgeting, forecasting, grant tracking, data analytics, and financial systems. Key responsibilities include preparing financial reports and dashboards, analyzing trends and variances, supporting the annual budget process, monitoring grant and restricted-fund activity, improving data quality and reporting, supporting system integrations and automation, and identifying opportunities to streamline workflows and reduce manual processes. 

We are looking for someone who is analytical, highly organized, detail-oriented, and comfortable working across financial and operational systems. The ideal candidate can identify problems, ask the right questions, evaluate information, recommend practical solutions, and independently move projects forward. Experience with financial or ERP systems, reporting and data tools, nonprofit or grant accounting, systems integrations, and process improvement is highly valued. 

This is a full-time, salaried exempt position reporting to the Chief Financial Officer. This is a United States-based remote position, operating on a Pacific Time Zone work schedule. 

Essential Responsibilities: 

Lead Financial Reporting, Budgeting, and Strategic Analysis 

• Prepare financial reports, dashboards, budget-to-actual reports, forecasts, models, and analyses for management, executive leadership, committees, and the Board. 
• Analyze revenue, expenses, reserves, cash flow, liquidity, operating results, financial trends, variances, and risks. 
• Support the annual budget process, including templates, data consolidation, assumptions, scenario modeling, cost allocations, and reporting. 
• Prepare schedules that support intercompany reporting, management reporting, grant reporting, and functional expense reporting.
• Build and maintain dashboards using approved spreadsheet, ERP, CRM, reporting, business intelligence, or data visualization tools.
• Create visual reports for revenue, expenses, budget-to-actuals, grant spending, cash flow, reserves, AR aging, AP obligations, indirect cost recovery, staffing trends, certification activity, and Foundation activity.
• Automate recurring reports to reduce manual preparation time and improve consistency.
• Maintain documentation for dashboards, including data sources, refresh schedules, definitions, and assumptions.
• Support grant and restricted fund reporting, including budget-to-actual tracking, allowable cost analysis, reimbursement support, cost share/match tracking, indirect cost calculations, and funder reporting schedules.
• Track grant spending by cost category, activity, funding source, reporting period, and responsible program.
• Prepare schedules that support grant billing, reimbursement requests, match documentation, audit review, and funder compliance.
• Support monitoring of grant balances, spending rates, reporting deadlines, and funding restrictions. 

Manage Integrated Systems, APIs, and Data Automation 

• Support implementation, testing, reporting, data migration, cleanup, reconciliation, and optimization of financial and operational systems.
• Help define reporting requirements for dashboards, system reports, workflows, approval processes, custom fields, reporting dimensions, and financial data structures.
• Work with Finance, IT, consultants, vendors, and department leaders to support integrations between financial, CRM, payroll, certification, grant, reporting, and operational systems.
• Develop and maintain field mapping documents, data flow documentation, validation rules, exception reports, and reconciliation procedures.
• Help determine the source of truth for key data elements and support data governance standards across systems.
• Test system integrations to confirm data transfers are complete, accurate, properly coded, and reconcilable.

Drive Cross Department Workflow Improvement and Operational Efficiency 

• Partner with teams across CCOF to understand workflows, reporting needs, system pain points, data handoffs, and opportunities to streamline, reduce redundancies, and improve data accuracy. 
• Identify manual processes, duplicate data entry, redundant reports, inconsistent coding, unnecessary handoffs, control gaps, and workflow inefficiencies.
• Recommend and help implement process improvements that reduce manual work, improve accuracy, strengthen accountability, and support internal controls.
• Create process maps, checklists, training materials, user guides, and documentation to support consistent workflows and system use. 

Ensure Data Governance, Internal Controls, and Audit Support 

• Help establish and maintain data governance standards, naming conventions, required fields, coding standards, reporting definitions, and validation processes.
• Review financial and operational data for completeness, accuracy, consistency, and reporting readiness.
• Support internal controls related to data entry, approvals, system access, reconciliations, workflow design, and financial reporting.
• Prepare schedules and documentation for the annual audit, single audit, Form 990, grant reviews, and other compliance needs.
• Ensure reports are accurate, traceable to source systems, supported by documentation, and useful for decision-making. 

Specific Duties:  

The Financial Data & System Analyst may create, maintain, or support: 

• CFO dashboards and monthly financial reporting packages.
• Finance Committee and Board reporting schedules.
• Budget-to-actual reports by entity, department, program, grant, fund, or functional category.
• Grant reimbursement reports and funder reporting schedules.
• Cost share, match, direct costs, and indirect cost tracking schedules.
• Payroll allocation and productive hours analysis.
• Operating reserve, liquidity, and cash flow reports.
• Certification revenue analysis.
