Job description

JOB SUMMARY

Maylor Foundation Contractors is seeking a detail-oriented and motivated Project Coordinator to support project planning, coordination, and execution across our geotechnical and deep foundation projects. This role bridges field operations and office-based project management — assisting with documentation, scheduling, procurement, reporting, and quantity takeoffs while working closely with Project Managers, Superintendents, engineers, subcontractors, and clients. In addition to coordination duties, this position carries direct responsibility for construction takeoffs. This is a growth role: the right person will learn the business from the ground up and develop toward a future Project Manager position at Maylor.

KEY RESPONSIBILITIES

Construction Takeoffs & Estimating Support

•     Perform detailed quantity takeoffs from plans, drawings, specifications — pile counts, linear footage, wall areas, concrete volumes, rebar, and material quantities for geotechnical and deep foundation work.

•     Review site plans, grading, structural drawings, geotechnical reports, and specifications to support accurate estimating and bid preparation.

•     Solicit, gather, and track material and equipment pricing from vendors and suppliers; maintain organized quote logs.

•     Assist the estimating team and Project Managers in assembling complete bid packages, proposals, and supporting documentation.

•     Help maintain historical cost data and unit pricing to improve estimating accuracy over time.

Project Coordination & Documentation

•     Assist in planning, organizing, and coordinating project activities from start to finish alongside the Project Manager.

•     Prepare and maintain project logs, RFIs, submittals, change orders, daily reports, and meeting minutes.

•     Monitor project schedules, deadlines, and deliverables to keep workflow on track and flag potential delays early.

•     Coordinate with engineers, subcontractors, and vendors to ensure project requirements, deliveries, and submittals are met on time.

•     Maintain organized digital project files using company construction management software; manage document control and version tracking.

•     Prepare project documentation for clients, FDOT requirements, and internal records.

Field Support & Coordination

•     Collect field data, verify progress, and support Superintendents and field crews.

•     Assist with field measurements, layout verification, and quantity tracking of installed work.

•     Track production data, material usage, and equipment hours for reporting and cost analysis.

•     Help ensure work is executed in compliance with project specifications, safety standards, and quality requirements; reinforce jobsite safety measures.

Procurement & Cost Tracking

•     Assist in obtaining material quotes and coordinating procurement to keep job sites supplied ahead of schedule.

•     Track project expenses, equipment usage, and subcontractor invoices; support accurate cost coding of purchase orders and field expenses.

•     Support budgeting and forecasting efforts by keeping cost and quantity data current and organized.

QUALIFICATIONS

Experience & Education

•     Bachelor's degree in Construction Management, Civil Engineering, or a related field preferred (not required).

•     1–3 years of experience in construction or engineering support roles preferred; geotechnical or heavy civil experience is a plus.

•     Experience performing construction takeoffs or estimating support is strongly preferred; willingness to learn and grow into the takeoff role is required.

Technical Skills

•     Strong understanding of construction processes, drawings, and specifications, with the ability to read and interpret plans and geotechnical reports.

•     Proficiency in Microsoft Word, Excel, Outlook, Teams, PowerPoint, and Bluebeam; experience with takeoff or estimating software is a plus.

•     Strong analytical skills for tracking quantities, costs, and production data accurately.
