Job description

Position Title – Contract and Cost Control Assistant

Location: (Edmond, OK)

Description

The Contract and Cost Control Assistant supports the Contracts Manager in the administration of contracts, cost tracking, and project documentation. This role ensures that project cost data and contract records are accurate, up-to-date, and compliant with company and client requirements. The position plays an essential part in maintaining financial accuracy, supporting project reporting, and facilitating communication among departments and subcontractors.

Responsibilities:

  • Assist with the setup, modification, and closeout of contracts and subcontracts.
  • Maintain and organize all contract-related files, correspondence, and reports.
  • Prepare and issue subcontract agreements and amendments.
  • Review and track contractor and subcontractor submittals, lien releases, certified payrolls, and material certifications.
  • Help prepare monthly DBE (Disadvantaged Business Enterprise) reports and maintain documentation compliance.
  • Communicate with subcontractors regarding payments, contract status, and project documentation.
  • Generate and maintain job billings, payment affidavits, and material-on-hand requests
  • Assist in tracking project costs and performance against budgets.
  • Help collect and review production quantities and cost data for accuracy.
  • Support in preparing monthly financial reports and forecasts within Viewpoint.
  • Compile and organize data for performance indicators, trend analysis, and executive review.
  • Assist with project closeout, audit preparation, and validation of final project revenues
  • Work closely with project management, accounting, and field teams to ensure accurate and timely flow of information.
  • Facilitate interdepartmental communication to ensure contract compliance and financial consistency.
  • Provide administrative and analytical support as requested by management.
  • Contribute to a positive and professional team environment while maintaining confidentiality and accuracy.
  • Work harmoniously, cooperatively, and courteously with others at all times.
  • Follow directions and instructions from supervisors.
  • Perform a variety of tasks and duties that may change often as the work conditions require.
  • Work within defined standards of accuracy.
  • Perform all other duties as assigned.

Requirements:

  • Strong computer skills, including proficiency with Microsoft Office.
  • Familiarity with construction contract documents and basic accounting principles.
  • Excellent attention to detail, organization, and follow-through.
  • Strong written and verbal communication skills.
  • Ability to handle multiple tasks and changing priorities effectively.
  • Team-oriented mindset with professionalism and discretion.
  • Must be able to lift a minimum of 25 pounds unassisted.
  • Must be able to see and hear well (naturally or with correction.)

Preferred Qualifications:

  • Bachelor's degree or coursework in Business, Accounting, or Construction Management.
  • Experience in construction cost control, accounting, or contract administration.
  • Experience with Viewpoint and HCSS software is a plus.
