Job description

Catholic Charities of the Archdiocese of Newark is currently seeking a Full Time Administrative Assistant for our Mobile Response and Stabilization Services Program located in Jersey City, NJ.
Requirements:
  • A high school diploma or GED is preferred, but not required.
  • 1-2 years experience in office operations is preferred
  • Valid NJ drivers license
  • Bilingual English/Spanish preferred
Job Duties:
  • Provide administrative support to program management and daily office operations.
  • Manage records, documentation, and the program's management information system.
  • Maintain accounting records, budgets, billing, reimbursements, and payment requests.
  • Process timesheets and assist with payroll-related administrative tasks.
  • Coordinate calendars, meetings, appointments, and office communications.
  • Perform clerical duties, including filing, data entry, mail processing, and phone support.
  • Maintain office supply inventory and coordinate purchasing.
  • Track employee leave and maintain administrative records.
  • Ensure confidentiality of sensitive employee and client information.
  • Monitor reception areas and ensure compliance with facility safety and sign-in/sign-out procedures.
  • Identify and report safety concerns in accordance with organizational policies.
  • Perform additional administrative duties as assigned.
