Advancement Operations & Data Coordinator
Position Overview: The Advancement Data Coordinator supports the Advancement Office's daily operations by maintaining accurate gift and constituent records, coordinating gift processing, and supporting the Advancement CRM. This position assists with reporting, data maintenance, and donor information management to support fundraising, stewardship, and alumni engagement efforts. Working collaboratively with Advancement staff, the Advancement Operations & Data Coordinator helps ensure constituent and gift information is accurate, timely, and maintained in accordance with established policies and procedures.
This position is campus-based and may require evening and weekend work.
Essential Duties:
  • Gift & Pledge Administration: Coordinate the accurate and timely processing of gifts, pledges, matching gifts, and other charitable contributions in accordance with institutional policies and procedures, ensuring proper coding, acknowledgment, and reconciliation to support donor stewardship and reporting.
  • Support Day-to-Day Advancement CRM Operations: Support the daily administration of the Advancement CRM by processing gifts, maintaining constituent records, and ensuring consistent data entry practices that promote accurate reporting and efficient Advancement operations.
  • Maintain Constituent Records and Lifecycle Updates: Create, update, and maintain constituent records, including demographic information, relationship updates, affiliations, and student-to-alumni transitions to ensure accurate and complete records across Advancement systems.
  • Maintain Data Integrity and Quality Control: Perform ongoing data validation, cleanup, and maintenance activities, using established data standards. Including NCOA updates, duplicate resolution, and constituent information update initiatives.
  • Support Fundraising and Donor Information: Compile donor and prospect information, including biographical, engagement, and giving history, to support fundraising activities, donor stewardship, and portfolio management efforts.
  • Support Data Operations and Reporting Preparation: Prepare routine reports, data exports, mailing lists, and other information requested by Advancement staff, ensuring data is accurate, timely, and meets operational needs.
  • Supervise Student Employees: Provide day-to-day oversight, training, and task management for student employees to ensure biographical updates and data entry tasks are completed accurately and efficiently.
  • Other duties as assigned.

Education & Experience:
  • Required: Proficiency in Microsoft Excel, including sorting, filtering, formulas, and basic data analysis.
  • Preferred: Experience working with constituent databases or CRM systems such as Virtuous, Raiser's Edge, Salesforce, Ellucian Banner, or similar platforms.
  • Bachelor's Degree: Preferred
  • AA: Required
