Part Time Executive Assistant

Position Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide part-time administrative support to the EVP of Delivery, who is residing in Europe, and, as needed, to other Executives. This role is focused on enabling executive effectiveness through exceptional calendar management, meeting coordination, administrative support, and high-quality document review.
The ideal candidate anticipates needs, exercises sound judgment, maintains strict confidentiality, and thrives in a fast-paced, dynamic environment with changing priorities.
This is a part-time position (25 hours/week) requiring daily availability Monday through Friday. Working hours will be established in collaboration with the successful candidate to ensure consistent support during core business hours.
Key Responsibilities
  • Manage complex executive calendars across multiple time zones.
  • Coordinate, schedule, and reschedule meetings while balancing shifting priorities.
  • Proactively identify scheduling conflicts and recommend solutions.
  • Develop an understanding of executive priorities to ensure calendars reflect business-critical activities.
  • Coordinate internal and external meetings, including preparing agendas, meeting logistics, and conference links.
  • Prepare and submit expense reports on behalf of executives.
  • Assist with travel coordination, itineraries, and related logistics when required.
  • Monitor executive inboxes or action items as requested and help ensure timely follow-up.
  • Maintain organized electronic files and documentation.
  • Proofread and review client-facing reports, presentations, and other documents for grammar, formatting, consistency, and professionalism before distribution.
  • Ensure documents align with company standards and branding.
  • Flag inconsistencies, missing information, or items requiring executive attention.
  • Serve as a trusted point of coordination between executives and internal stakeholders.
  • Follow up on action items and ensure commitments and deadlines are met.
  • Assist with preparing meeting materials and executive presentations.
  • Support special projects and administrative initiatives as assigned.

Job Requirements
  • Operates in a fast-paced work environment in a global organization. Requires the ability to multitask and adapt quickly to changing priorities. May involve tight deadlines and high-energy work situations.
  • Previous experience supporting senior executives, preferably at the VP, or Executive level.
  • Excellent organizational and time management skills with the ability to manage multiple competing priorities.
  • Strong attention to detail and exceptional proofreading abilities.
  • Excellent written and verbal communication skills in English.
  • High level of professionalism, discretion, and confidentiality.
  • Strong judgment and the ability to anticipate executive needs.
  • Proficiency with Microsoft Office, including Outlook, Word, PowerPoint, and Excel.
  • Comfortable working independently with minimal supervision

Preferred Qualifications
  • Experience supporting executives in a fast-paced consulting, professional services, or technology environment.
  • Experience coordinating meetings across multiple international time zones.
  • Familiarity with preparing executive presentations and client-facing documents.
