The Project: Supports the business by planning and managing the proposal process and delivering responses in line with the Mace's brand, position and processes. Aids the Sales/Account/Opportunity leadership in translating win strategies and business objectives into smart, compelling, consistent, customer-focused, error-free documents and presentations, project managing activity through bid plans and escalating risks where required. Lead on coordinating meetings, sign-offs, collation of corporate information for proposals and administration tasks within Mace processes.

You'll Be Responsible For : 

  • Supports workshops and research tasks to analyze client goals, drivers and ambitions, client technical and commercial targets, market and competition, aligned to Mace governance (e.g. Go No-Go, Golden Rules Review etc).

  • Analyzes tender documentation to review and support relevant priorities.

  • Undertakes detailed client/project/scope/stakeholder/competitor research to better understand opportunities.

  • Follows Mace processes to deliver a high quality, client-focused proposal, supporting best practice.

  • Project/proposal coordination - analyzes documents to define client requirements, deliverables, set deadlines and owners - the proposal plan.

  • Supports the proposal program, highlighting interdependencies and monitoring /reporting on progress.

  • Coordinates internal and external progress meetings - kick off/regular progress meetings, supporting proposal team through all meetings.

  • Appropriate dissemination, communication of client responses to questions and facilitation of appropriate action in response.

  • Gather and issue any questions required to the client.

  • Aids the drafting of standard content /CVs/project profiles - closing gaps where possible by interviewing /questioning relevant parts of the business.

  • Proof/copy edit responses to ensure compliant, compelling, benefits-driven copy.

  • Ensures all required reviews and adjudication/sign-offs are achieved in line with Mace governance.

  • Coordinate the creation of additional supporting content - printed models/video/large-format printing/presentations.

  • Captures all new content within Mace's internal library.

  • Facilitates, records and shares lessons learnt/best practice.

  • Supports improvement activities and projects which may be focused on improving work winning team performance, or competence and capability of the Mace business.  

  • Works collaboratively towards the common goal of net zero carbon transition, and share responsibility for the proactive identification and management of the associated carbon emissions and reductions during the delivery of work.
     

You'll need to have 

  • Demonstrable experience coordinating projects and managing multiple priorities within fast-paced, deadline-driven environments.

  • Excellent written English skills, including editing and proofreading content for grammar, spelling, punctuation and quality.

  • Proven ability to work effectively with cross-functional teams, including technical specialists, business stakeholders, marketing teams and external suppliers.

  • Strong interpersonal, influencing and stakeholder management skills, with the confidence to communicate effectively at all levels.

  • Proficient in Microsoft Office applications, including Teams, SharePoint, Word, Excel and PowerPoint; familiarity with Mural is advantageous.

  • Good understanding of professional services and/or the construction, property or built environment sector.

  • Ability to build and maintain strong working relationships while delivering a high standard of internal stakeholder support and customer service.

  • Highly organized, proactive and detail-oriented, with the ability to maintain accuracy and quality under tight deadlines.

  • Sound judgment and problem-solving skills, with the ability to identify practical solutions where guidance may not be readily available.

  • Flexible and adaptable approach, with the ability to manage changing priorities and competing demands effectively.

  • Demonstrates a professional, collaborative and service-oriented mindset, acting as a positive representative of the business and its values.

  • Degree in Business, Marketing, Communications, Project Management or a related discipline (or equivalent).
