Role Summary:
The Logistics Coordinator plays a critical role in ensuring the seamless movement of materials, components, and finished systems across Heven AeroTech's supply chain. Working closely with the Director of Logistics, this position supports procurement flow, inventory accuracy, shipping and receiving operations, and cross-functional coordination.

This role is ideal for someone who is hungry to learn and improve processes, humble in team-based problem solving, and smart in navigating complex logistics challenges with strong judgment and communication. Success in this role requires attention to detail, adaptability, and a proactive mindset in a fast-paced aerospace environment.

Essential Responsibilities:

  • Coordinate inbound and outbound shipments - domestic and international - ensuring compliance with aerospace, defense, and export regulations (ITAR, EAR, FAA).
  • Prepare, review, and maintain shipping documentation including bills of lading, packing lists, commercial invoices, and export paperwork.
  • Manage carrier relationships and work with freight forwarders, customs brokers, and couriers to resolve shipment issues.
  • Monitor delivery schedules and prioritize critical shipments to support production timelines.
  • Process inbound receipts accurately and ensure proper inspection and routing.
  • Maintain 99% inventory accuracy across all storage and staging locations.
  • Track material availability and supplier performance to support procurement and production teams.
  • Support receiving, inspection coordination, and material handling in compliance with quality standards.
  • Conduct cycle counts, physical inventories, and reconcile discrepancies.
  • Assist with warehouse layout optimization and material flow improvements.
  • Maintain organized storage areas with FIFO and shelf-life controls.
  • Enter and maintain logistics data in ERP/MRP systems (SAP, Oracle, or equivalent).
  • Ensure all records are audit-ready and compliant with internal and external requirements.
  • Monitor logistics KPIs and report performance metrics.
  • Support compliance with FAA, ITAR/EAR, and AS9100 standards.
  • Maintain traceability documentation for serialized and flight-critical components.
  • Collaborate cross-functionally with engineering, manufacturing, procurement, and quality teams.
  • Communicate proactively with internal and external stakeholders.
  • Escalate risks and constraints in a timely and solution-oriented manner.
  • Support new product introductions (NPI) and material readiness.
  • Contribute to continuous improvement initiatives and process standardization.
  • Assist with reporting, audits, and special logistics projects.
  • Perform other duties as assigned.

Qualifications & Experience:

Required:

  • Associate's degree in Logistics, Supply Chain Management, Business, or related field - or equivalent experience.
  • 2+ years of logistics, shipping/receiving, or supply chain experience.
  • Working knowledge of shipping methods and trade compliance (ITAR/EAR awareness a plus).
  • Strong organizational skills with high attention to detail.
  • Proficiency in Microsoft Office (Excel, Outlook, Teams); ERP experience preferred.
  • Ability to manage competing priorities in a fast-paced environment.
  • Strong communication and collaboration skills.
  • Demonstrated behaviors aligned with being humble (team-first mindset), hungry (self-motivated and proactive), and smart (effective communicator with strong judgment).
  • S. citizenship or permanent residency required.

Preferred:

  • Bachelor's degree in Logistics, Supply Chain, Industrial Engineering, or related field.
  • Experience in aerospace, defense, or regulated manufacturing.
  • ERP/MRP experience (SAP, Oracle, Deltek Costpoint).
  • Familiarity with ITAR/EAR compliance.
  • Knowledge of AS9100 standards and traceability requirements.
  • Experience with Lean, 5S, or continuous improvement methodologies.
  • APICS CPIM certification or equivalent.

Physical Requirements:

  • Ability to lift and carry materials up to 40 pounds regularly and up to 60 pounds occasionally, with or without assistance.
  • Ability to stand, walk, bend, kneel, and reach for extended periods during warehouse and production support activities.
  • Ability to operate standard warehouse equipment such as pallet jacks and carts (forklift experience a plus).
  • Ability to work in both office and warehouse environments, including exposure to moderate noise levels and varying temperatures.
  • Manual dexterity to handle small components, packaging materials, and documentation.
  • Visual acuity to read labels, shipping documents, and computer screens accurately.
  • Ability to sit for extended periods while performing administrative and data entry tasks.
