Job description

CAT Specialties is seeking an organized, customer-focused Custom Apparel Order Coordinator to help manage customized apparel and promotional-product orders from the initial customer request through production and final delivery.

This position serves as the primary connection between our customers, vendors, art department, and production team. The ideal candidate is an excellent communicator who can manage multiple orders, maintain accurate details, and keep customers informed throughout the process.

Experience in screen printing, embroidery, promotional products, signage, commercial printing, or branded merchandise is preferred. Candidates with strong order-management, customer-service, or production-coordination experience are also encouraged to apply.

What You’ll Do

  • Respond to customer questions and order requests by phone, email, and in person.
  • Help customers select apparel, promotional products, and customized merchandise.
  • Prepare quotes and enter customer orders accurately.
  • Manage orders from initial request through artwork approval, production, shipping, and delivery.
  • Communicate order specifications, artwork details, deadlines, and special instructions to the art and production teams.
  • Provide customers with updates regarding proofs, production timelines, order status, and pickup.
  • Coordinate with vendors regarding product availability, pricing, purchasing, and delivery dates.
  • Review order information for accuracy before production begins.
  • Resolve order issues, product changes, returns, exchanges, and shipping concerns.
  • Coordinate outgoing shipments through FedEx, USPS, and other carriers.
  • Maintain accurate customer, vendor, and order records.
  • Assist with general office and production support as needed.

What We’re Looking For

  • At least two years of experience in customer service, order processing, account coordination, project coordination, or administrative support.
  • Strong organizational skills and the ability to manage multiple orders and deadlines.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and accurate data-entry skills.
  • Ability to communicate effectively with customers, vendors, artists, and production employees.
  • Proficiency with Microsoft Office and order-entry or database systems.
  • A dependable, proactive approach to solving problems and following orders through completion.

Preferred Experience

  • Custom apparel, screen printing, embroidery, promotional products, signage, commercial printing, or branded merchandise.
  • Preparing customer quotes and processing customized orders.
  • Reviewing artwork proofs and coordinating customer approvals.
  • Working with production schedules, purchasing, inventory, vendors, or shipping carriers.
