Job Summary

Under the guidance and supervision of the CHHS ASM, the CHHS HR and Financial Analysts, Department Chairs, and CHHS Coordinators, the Admin Support Assistant provides general administrative support to the College of Health and Human Services (CHHS), the CHHS ASM, and CHHS Departments, as needed. This position will be assigned to support various Departments, Department Chairs/Directors, faculty, staff, and students in a wide variety of areas, including financial data entry and purchasing form completion, communications, scheduling assistance, general record keeping, and providing admin support in non-sensitive personnel matters. The Admin Support Assistant also provides customer service for its constituents: faculty, staff, students, and the public-at-large. This position may support multiple department units at one time.


Key Responsibilities
  • Financial Data Entry & Purchasing Support: Performs data entry of expenditures, completed required forms to initiate or process purchasing requests, submits online work orders, obtains quotes, and processes travel requests & reimbursements, using the appropriate policies and procedures of the University and CHHS.
  • Customer Service & Faculty Support: Provides customer service to students, faculty, administrators, and the public, including answering phones and greeting Department visitors.
  • Class Scheduling Support:  Assists Chair/Director in tracking faculty schedule availability and preferences.
  • Inventory Control: Assists Department by entering data into inventory of office equipment and supplies.
  • Personnel Administration Support: Obtain information needed for hiring and provide to appropriate departments per CSULB/CHHS policies and procedures.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

  • Hiring Range: The hiring range for this position is $3,565 (Step #) - $4,260 (Step #10) per month commensurate with candidate's education, experience, skills, and training.
  • CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,565 (Step #1) - $5,092(Step #19) per month.

Knowledge, Skills, and Abilities

Requires a knowledge of various Microsoft Products, including Microsoft Office.  Microsoft Excel experience and skills are required. Experience with PeopleSoft and Sharepoint are highly preferred. Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."


Education and Experience

Equivalent to three years of administrative support experience required. General administrative experience, including purchasing and managing a budget preferred.
