The Royal Caribbean Group's Legal Team has an exciting career opportunity for a full-time Coordinator, Legal Support reporting to the Sr. Mgr, Legal Ops.ย 

The position is onsite and based in Miami, Florida. This role is a 6 months contract roleย 

The position is also not eligible for work authorization sponsorship.

Position Summary:

The Billing Coordinator supports theย Royal Caribbean Group (RCG)ย in-house Legal Department by managing the end-to-end legal billing process, ensuring accuracy, compliance with billing guidelines, andย timelyย processing of invoices. This role partners closely with Legal Operations, Finance, and external counsel, leveragingย Counsel Linkย as the primaryย eBillingย system and Oracle as the enterprise resource planning (ERP) platform.ย 

ย 

Essential Duties and Responsibilities:

  • Manageย legal vendor/lawย firmย set up within RCG's enterprise platform.ย 
  • Manageย daily review, processing, andย approvalย workflows for legal invoicesย submittedย throughย CounselLink.ย 
  • Ensure invoicesย comply withย outside counsel guidelines, engagement terms, and matter-specific billing requirements.ย 
  • Ensureย CounselLinkย data integrity includingย proper cost center, GL, and accrual treatment.ย 
  • Resolve invoice rejections, adjustments, and appeals by coordinating with law firms and internal stakeholders.ย 
  • Set up new law firms and new matters andย maintainย accurateย matter and vendor data withinย CounselLink.ย 
  • Coordinate approved invoices for payment throughย Oracle.ย 
  • Perform monthly and quarterly invoice accruals and reconciliations in partnership with Finance.ย 
  • Supportย matterย budget tracking, timekeeper rate, andย spend reporting.ย 
  • Performing routine data clean-up projects as defined by the Legal Operations team.ย 
  • Document billing processes and contribute to continuous improvement initiatives.ย 

Systems & Toolsย 

  • Counsel Linkย eBillingย and matter management platform.ย 
  • Oracle ERP (Accounts Payable, General Ledger, and reporting modules).ย 
  • Microsoft Excel (including pivot tables, lookups, and basic data analysis).ย 
  • Microsoft Word, Outlook, and other collaboration tools.ย 

ย 

Qualifications, Knowledge and Skills:

  • Associate'sย orย bachelor's degree in business, Finance, Accounting, Legal Studies, orย a relatedย field, or equivalent practical experience.ย 
  • 2+ years of experience in legal billing, legal operations, accounts payable, orย a relatedย role.ย 
  • Strong attention to detail and accuracy.ย 
  • Ability to manage multiple deadlines in a fast-paced environment.ย 

Preferred Qualificationsย 

  • In-house legal department experience.ย 
  • Hands-on experience withย CounselLinkย or a comparable legalย eBillingย system.ย 
  • Experience working with an ERP system, preferably Oracle.ย 
  • Familiarity with law firm billing practices.ย 
  • Experience supporting legal budgets, accruals, and forecasting.ย 
  • Process improvement or legal operations certification (e.g., CLOC).ย
