About the Role
We are seeking a
Deposit Account Specialist to join our team. The
Deposit Account Specialist supports the Housing Department by communicating with landlords/property owners via phone/email, to ensure timely returns of security deposits for temporary stays on behalf of policyholders. The role's day to day functions involve inbound and outbound calls, email inbox management, and Salesforce task management and completion. This role is a combination of a customer service representative, and an operations administrator, focusing heavily on meeting timelines and processing security deposit refunds while delivering exceptional service.
- Compensation: $21.00/hr (approx. $43,680/yr) + annual bonus
- Training: Approximately 90 days, Monday-Friday, 8:00 AM - 4:30 PM (in-office). Due to the nature of the training, we ask you do not request PTO during the training period.
- Regular Schedule: Monday-Friday, 8:00 AM - 4:30 PM (some flexibility upon completion of training)
- Hybrid: Becomes available after the initial 90 days of training. Hybrid is performance dependent and will mean 1 day in-office per week, 4 days WFH.
- Computer and phone equipment will be provided. You must have reliable high-speed internet service and a suitable workspace at your residence
Duties/Responsibilities:
- Manage the security deposit recovery process by communicating with landlords to ensure timely and accurate refund processing.
- Review security deposit deductions for compliance with applicable lease agreements and landlord-tenant laws, identifying and disputing unreasonable or unsupported charges.
- Prepare and process deposit requests, demand letters, and supporting documentation while ensuring adherence to statutory deadlines and legal requirements.
- Serve as the primary point of contact for policyholders, providing clear guidance and updates throughout the security deposit refund process while delivering exceptional customer service.
- Enter, maintain, and audit customer information, claim records, and accounting documentation in Salesforce to ensure data integrity and compliance with company standards.
- Resolve customer inquiries and concerns promptly through professional email and telephone communication, consistently meeting service expectations and quality standards.
- Manage inbound and outbound calls, email correspondence, a high-volume email inbox, and Salesforce automated tasks to ensure timely claim processing and effective communication.
- Maintain confidentiality of customer information and ensure compliance with company policies, legal requirements, and industry best practices throughout all stages of the claims process.
Qualifications:
- High School Diploma/GED
- 2+ years of Customer Service experience (phone preferred)
- Minimum 40wpm typing speed
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, etc.)
- History of attention to detail, multi-tasking, data accuracy and organizational skills
- Intermediate competency in mathematics
- Ability to remain compassionate/empathetic during challenging communications
Strong Candidates Will Possess:
- Bachelor's Degree (or equivalent experience).
- Related coursework (business, sales, accounting, psychology, etc).
- Salesforce experience.
- Example of experience working in task-driven roles with tight deadlines.
