Assistant Property Manager – Boca Raton, FL

Join our dynamic property management team as an Assistant Property Manager, where you'll play a vital role in supporting the daily operations of residential properties. This energetic position offers the opportunity to develop your expertise in property leasing, tenant relations, and administrative management while ensuring our properties meet the highest standards of quality and compliance. You will work closely with property managers and team members to deliver exceptional customer service, streamline processes, and uphold regulatory requirements, all while fostering positive relationships with tenants and vendors.

Duties

  • Assist in managing lease or rental agreement processes, including drafting, renewals, and terminations, ensuring compliance with Fair Housing regulations and legal standards.
  • Support property maintenance coordination by liaising with vendors, scheduling repairs, and tracking work orders using property management tools such as Yardi or OneSite.
  • Handle client communication with professionalism via phone, email, and in person to address inquiries, resolve issues, and promote tenant satisfaction.
  • Maintain accurate data entry and filing of tenant records, lease documents, contracts, and compliance documentation within property management systems.
  • Contribute to budgeting efforts by tracking expenses, preparing reports, and assisting with financial administration related to Section 8 and LIHTC programs.
  • Support conflict management efforts by mediating tenant disputes and ensuring adherence to lease agreements and community policies.
  • Participate in team management activities by collaborating effectively with colleagues to meet operational goals and uphold excellent customer service standards.

Requirements

  • Proven experience in property management or real estate administrative roles; familiarity with property management companies is highly preferred.
  • Strong knowledge of landlord-tenant law, Fair Housing regulations, Section 8 housing programs, LIHTC (Low-Income Housing Tax Credit), and related legal frameworks.
  • Proficiency with property management software such as Yardi, OneSite, or comparable tools; experience with CMMS (Computerized Maintenance Management System) is a plus.
  • Excellent organizational skills with the ability to manage multiple priorities through effective data entry, filing, and record keeping.
  • Demonstrated conflict management skills combined with professional phone etiquette and customer relationship management abilities.
  • Competency in Microsoft Office Suite (Word, Excel, Outlook) for reporting and correspondence purposes.
  • Ability to work independently as well as part of a team; strong negotiation skills for lease or rental agreement discussions are desirable.
  • Knowledge of property maintenance procedures and facilities management practices will enhance your success in this role.
