Job description

The Williston Northampton School, an independent coeducational boarding and day school located in Easthampton, MA, has a full-time, calendar-year opening for a Human Resources Coordinator and Administrative Assistant to the CFO. The schedule for the position is Monday through Friday 40 hours per week. Occasional special event coverage as necessary. This is not a remote position.

Support for the HR Director will include:

  • Assist the HR Director with the operations of the office
  • Assist with campus hiring, including recruitment and job posting management
  • Process employee onboarding and offboarding
  • Support benefits administration and enrollment
  • Manage BambooHR system for records, updates and employee data
  • Support payroll processing
  • Maintain HR documentation and filing systems
  • Create monthly all employee newsletters
  • Organize annual boundary training
  • Prepare workman's comp
  • Answer phone from the school's main line
  • Responsible for daily incoming/outgoing mail
  • Other duties as assigned

Support for the CFO will include:

  • Provide poised administrative assistance to the CFO
  • Manage CFO calendar, schedule meetings, and coordinate appointments
  • Act as a liaison between the CFO and other departments on campus
  • Prepare meeting agendas, materials, and follow-up documentation
  • Handle correspondence, emails and communications on behalf of the CFO
  • Coordinate Board of Trustee subcommittee meetings and presentations
  • Attend Board of Trustee meetings and take minutes
  • Support special projects and administrative initiatives
  • Prepare presentations and compile reports and data
  • Other duties as assigned

The successful candidate must: have four to six years of human resources/administrative assistant experience preferably in an educational or non-profit setting; be able to work intuitively and independently as well as part of the general Business Office team; have strong organizational skills for multi-tasking and prioritizing responsibilities as situations arise in fast paced environment; have the ability to understand written and oral instruction; have demonstrated written, interpersonal and communication skills in order to successfully interact with diverse staff, faculty, students and other constituents of the School; possess proficiency with Microsoft Office Suite, especially Excel and Word; be able to work in secondary boarding school atmosphere by successfully passing CORI, SORI and fingerprint based background checks; possess a valid driver's license.
