Job description

Senior Service Writer

The Senior Service Writer is responsible for preparing parts and service quotes and delegating all workflow to team members.

Essential Functions:

  • Assist with delegation of workflow to all service writers.
  • Review completion of assigned duties to other service writers.
  • Provide service information to customers, schedule customer service needs, add segments to work orders containing job information
  • Open quotes and completes all necessary paperwork for quote presentation to customer and CSS.
  • Assist in the appraisal and quote process for equipment repair.
  • Coordinate parts and labor requirements with Service Manager for work orders.
  • Assist in scheduling shop assignments, field service work and delivery of equipment.
  • Establish or adjust work procedures to meet schedules and deadlines.
  • Open and close work orders.
  • Provide clerical assistance, including some correspondence and data entry.
  • Develop positive customer relations by accurately communicating repair status and charges for equipment repairs.
  • Greet service customers and answer calls to schedule service appointments.
  • Advise customers of estimated service and repair costs.
  • Review details of service/repair invoice to ensure customer understanding of services provided
  • Communicate progress of repair/service orders
  • Follow up with the customers on all quotes previously sent out.

Qualifications:

  • High school diploma required.
  • 4+ years' experience in automotive/construction service administrator role.
  • College or technical school certificate/degree preferred.
  • Strong computer skills, including experience with Excel preferred.
  • Excellent customer service/communication skills required.

Typical Physical Activity:

While performing the duties of this job, the employee must have the ability to occasionally lift 75 pounds from floor to chest; reach and use the arms with a full range of motion; endure prolonged standing, stooping, kneeling, crouching, and squatting while performing mechanical operations; exert push and pull forces with the arms in order to use various wrenches and tools; endure prolonged forward and overhead arm positions while performing mechanical operations; use hands to grasp hand tools and parts and climb onto and operate equipment. Typical Environmental Conditions Employee regularly works indoors around moving mechanical parts. May be exposed to weather extremes when working outside in conditions that include inclement weather, heat, cold, and humidity. Noise level may be loud at times. Exposure to small quantities of chemicals, dust, steam, high-pressure water, and high-speed rotating equipment. Requires wearing common protective or safety equipment. Required to perform work in cramped spaces and/or high places. The Senior Service Writer must perform the essential duties and responsibilities with or without reasonable accommodation efficiently and accurately, and without causing significant safety threat to self or others.
