Job description

We're looking for a highly organized, detail-oriented Executive Administrative Assistant who isn’t afraid to take initiative, keep things running behind the scenes, and help our CEO stay in her creative zone.

This is a hybrid role that blends digital admin tasks with executive-level organization and scheduling support. If you're the kind of person who notices when a system needs tweaking, thrives on checklists, and secretly loves a well-planned content calendar- we want you.


Responsibilities:

  • Organize and manage the CEO’s task list and remind her of deadlines, approvals, and meetings
  • Format and proof content (emails, listings, spreadsheets) for approval
  • Maintain a running calendar of upcoming launches, events, and obligations
  • Assist in keeping the CEO focused, flowing, and out of admin overwhelm
  • Monitor communications and follow up on pending tasks across departments
  • Schedule and post content to social media using our content calendar
  • Upload and format podcast episodes weekly
  • Send push notifications and update our mobile app
  • Pitch in where needed in our small, family-owned business

Ideal Candidate:

  • Has experience in administrative, executive, or digital marketing support roles
  • Is a self-starter who can work independently and manage their own workflow
  • Can manage multiple priorities while keeping deadlines tight and clear
  • Is tech-savvy (familiar with Later, podcast platforms, Canva, and/or app dashboards is a plus)
  • Has an interest in witchcraft, metaphysics, or spiritual businesses
  • Drives and has access to their own car for tasks that may come up during the workday
  • Thrives in creative, fast-moving environments with a touch of chaos
  • Bonus points for photo editing skills, social media savvy, or light copywriting skills!

Schedule:

  • This is an in-person position based in Tucson, AZ (we are not looking for a virtual assistant)
  • Part-time: 18-20 hours per week to start (3 days per week)
