Job Description:

We are looking for a dedicated and hard-working person to join our skilled and dynamic Hospitality Team!
This SEE will help support multiple projects with the ability to get involved in exciting programs with various clients. This position will get a broad view of Octagon's offices and clients while assisting with a variety of elite events. If the idea of collecting frequent flyer miles excites you, then this job is for you. In this outstanding role, your principal responsibilities will include event planning, operational logistics, vendor management, creative hospitality development, production planning and onsite execution. This individual will be working with a service-oriented team who is committed to providing a seamless, white-glove hospitality experience to our clients. With the team located across the country, you will have broad exposure to the hospitality industry with a tremendous potential to learn and gain hands-on experience.
THE WORK YOU'LL DO
- Lead the planning and execution of event logistics across multiple hospitality programs, ensuring every detail is thoughtfully planned and flawless executed
- Research, develop and implement creative hospitality experiences, programming ideas and premium touchpoints to elevate the overall guest experience
- Manage relationships with third-party vendors, serving as the primary day-to-day contact while overseeing timelines, deliverables, budgets and execution
- Support developing decor concepts, event layouts and floor plans while identifying creative opportunities to seamlessly integrate client branding throughout the guest experience
- Own gifting execution from concept development through fulfilment, including brainstorming gift ideas, obtaining vendor quotes managing ordering, personalization opportunities, inventory and onsite distribution
- Develop and maintain asset management including signage, printed collateral, production elements, premium giveaways and branded decor, identifying opportunities to enhance future programs
- Support budget creation, management, reconciliation, and recap
- Actively participate in all weekly status calls and other key meetings with both internal and external constituents
- Lead the planning and execution of food and beverage operations, including menu recommendations, service timing, dietary accommodation and coordination with venue and catering partners
- Prepare and distribute event status updates, execution guides, and support staff documents
- Assist with collecting event results reporting and wrap-up report development
- Oversee administrative program elements including, vendor contracts, certificates of insurance, purchase orders, vendor payments and overall documentation management
- General account management and assistance with client requests

- 3+ years' experience in related events field; past hospitality experience preferred
- Passion for sports, entertainment, gaming, music and/or celebrity & lifestyle culture will make you a good Octagon fit
- Experience in the world of golf hospitality is a plus
- People may have accused you of being fervent; you're so organized that a messy folder or inbox irritates you
- A standout colleague who wants to know what others are working on and wants to help
- Consider yourself a self-starter with the ability to balance multiple projects on tight deadlines simultaneously

- Super knowledgeable in Microsoft Office suite; particularly Teams, Excel, PowerPoint, Word
- Have experience running a budget and Excel doesn't scare you
- Though not a requirement, a second language is a plus.
- A jetsetter: bags are packed and excited at the idea of travel (approx. 35%)
- Can work weekends/holidays as needed
This position pays $50,000, is overtime-eligible and comes with a comprehensive benefits package.
