Job description

We are thrilled to partner with a top-tier, premier venture investment firm in San Francisco to recruit an exceptional, high-energy Office Manager / Executive Assistant.

Our client has recently unveiled a breathtaking, custom-built office space in an iconic downtown high-rise. Designed with a luxury, residential-hospitality aesthetic, this office is built to host high-profile portfolio dinners, board events, and community gatherings. They are seeking a warm, polished professional to become the face of the firm, shape their workplace culture, and curate an unparalleled experience for team members and VIP guests alike.

Position Overview

This is a dynamic, hybrid role split approximately 60% Office Management & Workplace Experience and 40% Executive Support. You won’t just be keeping the lights on—you will have true creative ownership over the office environment and play a pivotal role in the firm’s daily operations.

Key Responsibilities

Office Management & Workplace Experience (~60%)

  • Be the Face of the Firm: Warmly welcome founders, investors, board members, and external executives off the elevator with a high-touch, concierge-level approach.
  • Curate the Environment: Maintain a flawless, polished, and guest-ready office environment that reflects a premium brand.
  • Event Coordination: Play a central role in planning and hosting high-end portfolio company dinners, board meetings, and exclusive community events.
  • Operations & Vendor Management: Manage all vendor relationships, coordinate facilities maintenance, troubleshoot building issues, and oversee office supply stocking and budgeting.

Executive Support (~40%)

  • Team Support: Provide seamless administrative and calendar support to junior investment professionals and members of the operating team.
  • Collaborative Partnership: Work alongside an established, collaborative team of Executive Assistants to ensure seamless office coverage and cross-functional support.
  • Growth Potential: For the right candidate, this scope has the potential to evolve into direct support for a senior General Partner.

Ideal Candidate Profile

Our client is looking for someone who brings a modern, creative approach to workplace experience. The ideal candidate possesses:

  • A Hospitality Mindset: Prior experience in luxury hospitality (e.g., 5-star hotels, high-end concierge services) or a similar high-touch professional services environment is highly preferred.
  • Polished Professionalism: Exceptional poise, presence, and communication skills when interacting with high-profile founders and board members.
  • Incredible Energy: A naturally warm, engaging, and proactive personality. You genuinely love creating spaces where people want to gather and work.
  • Detail Orientation: Strong organizational skills with the ability to manage competing administrative priorities seamlessly.
  • Venture Capital Experience: Prior experience supporting senior executives within a venture capital firm is strongly preferred, with an understanding of the unique pace, priorities, and stakeholder dynamics of the VC ecosystem.

Why Apply?

  • True Ownership: Enjoy significant autonomy to shape the culture and physical environment of a brand-new, world-class workspace.
  • High Visibility: Engage directly with leading minds in the technology and investment ecosystems.
  • Collaborative Culture: Join a firm known for its collaborative, supportive team dynamic and commitment to excellence.

To Apply: Please submit your resume detailing your relevant experience in office operations, executive support, or luxury hospitality. All inquiries will be kept strictly confidential.
