Job description

Studio in a School (Studio) seeks an experienced, enthusiastic, and collaborative professional with an interest in arts administration to join our team as the Associate Manager, Arts Internship Operations (College). The Associate Manager will oversee, coordinate, and support the operations and project management of multiple internship programs throughout the calendar year. This role focuses on systems management, workflow planning, and cross-team coordination to ensure smooth and efficient planning and support of the team to meet all deliverables and deadlines. The Associate Manager will serve as a vital link from program strategy to execution by infusing consistency, accountability, and organization across all program components. The ideal candidate is highly organized, collaborative, and passionate about cultivating a supportive environment for college students.


As part of a team of three, the Associate Manager will serve a critical role in creating and maintaining systems and structures needed to serve a wide range of stakeholders, including interns, arts & cultural partners, and Project Coordinators. This role works closely with our internal Human Resources and Finance teams, and will collaborate externally with partners and venues to coordinate the logistics of several professional development events across seven cities during the summer.


The Associate Manager will report to the Director, Arts Internship (College). This is a full-time, exempt, non-union position.


About Studio in a School

Studio in a School fosters the creative and intellectual development of young people through quality visual arts programs, directed by professional Artist Instructors, arts and cultural internships, and apprentice-based learning in the arts. The organization also collaborates with and develops the capacity of classroom teachers, school leadership, and others who provide or support arts programming and creative development for young people both in and outside of schools.

About Bloomberg Arts Internship: College

The Bloomberg Arts Internship: College program is an extension of the BAI summer high school internship, administered by Studio in a School and in partnership with Arts for Learning Maryland, EdVestors in Boston, Greater Philadelphia Cultural Alliance, Sitar Arts Center in Washington, DC., Culture Source in Detroit, and Kid Smart in New Orleans. This program is supported by Bloomberg Philanthropies.


In this nine-week summer internship program, interns gain valuable career development experience at arts and cultural partners, as well as professional development training from Studio in a School staff and other experts in the field of arts administration.

Primary Duties and Responsibilities

Project Management and Coordination

  • Lead coordination of activities across multiple BAI: College programs in 7+ cities.
  • Develop, monitor, and maintain program workplans, calendars, timelines, and trackers for all phases of the program cycle (recruitment, selection, placement, training, and evaluation).
  • Coordinate planning for and completion of project milestones in collaboration with Bloomberg Arts Internship: College team members.
  • Report on progress, blockers, and upcoming priorities to keep the team informed and aligned.
  • Develop strategies and utilize project management tools to improve communication, accountability, and monitoring for efficiency and quality.


HR, Finance, and Administrative Coordination

  • Support internal HR and compliance processes, such as ensuring required documents are submitted, employment standards are met, and participants are eligible to work.
  • Assist in approving timesheet entries for interns and instructors; ensure timely review and approval.
  • Coordinate and execute contract agreements for consultants and seasonal staff.
  • Support timely review, approval, and processing of invoices, check requests, and program-related expenses in collaboration with Studio administrative staff.
  • Manage supply orders and vendor relationships for program materials and logistics.
  • Contribute to budget tracking and documentation as assigned.


Data Collection

Collaborate with Studio staff and program partners to support data collection and documentation, including intern surveys, attendance, and activity logs.

  • Manage data collection related to applicant tracking and program evaluation, including assignment tracking and surveys.
  • Manage program attendance, assignment completion, and engagement metrics for cohort tracking and evaluation.
  • Maintain accurate records for worksites, organizational partners, vendors, schools, and students; update contact lists and workplans regularly.
  • Ensure consistent follow-up and documentation of activities and attendance.


Program Operations and Logistics

  • Lead scheduling, coordination, and day-of logistics for program meetings, trainings, orientations, and evaluations.
  • Lead operational planning for key events such as orientations, Kickoffs and Closings in multiple cities, professional development Cohort Days, including transportation, meals, space bookings, and materials.
  • Contribute to smooth intern selection and seasonal staff/partner (e.g. mentors and vendors) hiring processes.
  • Other responsibilities as assigned.


Desired Skills and Background

Education and Experience

  • Bachelor’s degree in arts administration, education, nonprofit management, or a related field.
  • 2+ years of experience with project management, preferably in arts education, adept at cross team collaboration, and passionate about workforce development.
  • Proficiency using project management or workflow software (e.g., Salesforce, ADP, Asana, Airtable, Google Workspace, Microsoft Planner, Monday.com, or Trello).

Location

We are currently working on a hybrid schedule. The Associate Manager will be asked to work 2 days per week in our office at 75 West End Avenue, New York, NY, or in the field, though this schedule may shift and evolve.


Hours

As a member of the administrative staff, the Associate Manager is expected to work

from 9 AM to 5 PM each scheduled workday. Any schedule shift request must be requested in

advance and receive approval from the supervisor. Candidates must be fully available to:

  • To support programs and events outside of regular work hours, such as weekends and evenings.
  • To travel within NYC; travel within NYC is required as part of the core functions of the position.
  • To travel to cities outside of NYC, as needed (no more than 15% of time); potential cities include, but are not limited to, Baltimore, Boston, Detroit, New Orleans, Philadelphia and Washington, D.C.
  • To work May through August during peak program operations.
