    ABOUT THIS POSITION

    The Billing Platform Functional Analyst is the operational owner of Waystar's proprietary billing platform within the Information Systems & Infrastructure Operations (IS&IO) organization. This individual contributor role sits at the critical intersection of Finance operations and systems administration - resolving billing exceptions, maintaining platform configuration integrity, ensuring clean data flow across the CPQ-to-invoice workflow, and driving the process automation that reduces manual Finance case volume.
    This role is the primary point of accountability for billing data quality, lead-to-customer activation accuracy, and the integration seam between Salesforce CPQ, the Waystar billing platform, and Oracle NetSuite. The Billing Platform Functional Analyst operates within IS&IO change control protocols and contributes to the broader Q2C systems governance framework led by the Director, Q2C Systems.

    WHAT YOU'LL DO

    PLATFORM ADMINISTRATION & CONFIGURATION

    • Own all day-to-day configuration, data model updates, and table-level administration of the Waystar billing platform (Waystar.com) within IS&IO change control protocols
    • Maintain and evolve billing rule sets, pricing structures, bill plan templates, and product hierarchy configurations to support current and new revenue models
    • Manage the lead-to-customer activation workflow: validate incoming opportunity data from Salesforce CPQ, resolve bill plan exceptions, and ensure record completeness before invoice generation
    • Own the data mapping and field alignment between the Waystar billing platform and Oracle NetSuite for accurate invoicing and ASC 606 revenue recognition
    • Support platform upgrades, patch testing, and production release validation in coordination with the Director, Q2C Systems and IS&IO infrastructure teams

    DATA INTEGRITY & QUALITY ASSURANCE

    • Design and maintain automated data validation routines to catch billing errors, orphaned records, and integration mismatches before they impact Finance or invoicing workflows
    • Establish and report on data quality KPIs on a regular cadence: billing error rate, lead-to-customer exception rate, activation lag, and invoice accuracy rate
    • Conduct root cause analysis on billing discrepancies; implement corrective configuration changes and document remediation steps within the IS&IO process library
    • Ensure billing data flowing into Snowflake and BigQuery is clean, complete, and aligned with ASC 606 revenue recognition logic - coordinating with the IS&IO Data Engineering team
    • Proactively surface recurring data quality patterns to the Director, Q2C Systems for systemic resolution rather than one-off remediation

    INTEGRATION OPERATIONS & MONITORING

    • Monitor and maintain the integration layer between Salesforce CPQ, Waystar billing, and Oracle NetSuite - including API health monitoring, sync frequency validation, and error alerting
    • Serve as first-level escalation for billing system integration failures, data pipeline outages, and Finance exception cases - triaging and resolving within defined IS&IO SLA
    • Document all integration data flows, field mappings, and exception-handling rules; maintain a living system-of-record within IS&IO knowledge management tooling
    • Collaborate with the Director, Q2C Systems and IS&IO infrastructure teams on platform upgrades, patch testing, and production release validation protocols
    • Participate in IS&IO incident response and post-incident review processes for billing platform outages or data quality events

    PROCESS IMPROVEMENT & REPORTING

    • Identify and implement configuration changes that reduce manual steps in billing workflows - specifically targeting minimum monthly billing review, partner billing splits, bundle management, and activation request processing
    • Build and maintain operational dashboards (Snowflake / BigQuery / Power BI) tracking billing KPIs for Finance, Revenue Operations, and IS&IO leadership review
    • Document standard operating procedures for billing platform administration, exception handling, and Finance case triage within the IS&IO process library
    • Support the Director, Q2C Systems in RFP processes, vendor assessments, and platform roadmap planning related to billing system evolution
    • Identify automation opportunities within the billing workflow and partner with the IS&IO engineering team to implement scalable solutions

    WHAT YOU'LL NEED

    REQUIRED QUALIFICATIONS

    • 4+ years of functional systems administration, billing operations, or finance technology experience within an IS/IT or Revenue Operations organization
    • Intermediate to advanced SQL proficiency - able to write complex queries, perform data audits, and troubleshoot integration issues at the record level
    • Hands-on experience with a commercial billing or subscription management platform; strong working understanding of bill plan structures and invoice workflows
    • Familiarity with Salesforce CPQ data structures (Quote, Quote Line, Order objects) and their downstream billing implications
    • Understanding of ASC 606 revenue recognition fundamentals and their impact on billing system configuration and data requirements
    • Demonstrated ability to work within IS/IT change control, documentation, and release management processes

    PREFERRED QUALIFICATIONS

    • Oracle NetSuite experience - billing, invoicing, or revenue recognition module administration
    • Snowflake or Google BigQuery proficiency for building operational billing data sets and Finance close reporting
    • Experience with API integration monitoring tools (Postman, DataDog, or comparable) within an IS&IO or DevOps environment
    • Healthcare technology, SaaS, or recurring revenue business model experience
    • Familiarity with IS&IO change management and ITSM ticketing systems (ServiceNow or equivalent) and production release protocols
    • Power BI or comparable BI tool experience for building and maintaining KPI dashboards
