About the role:
Our clients count on us to make the legal process seamless and efficient from scheduling court reporters and legal videographers to ensuring transcripts are delivered on time and flawlessly accurate. As a Concierge (Mountain), you will welcome all guests to our offices, address their needs professionally, and ensure that the environment and all technology are properly working.
What you'll get to do:
  • Ensure conference room technology has been set up, pre-tested and is working at least 2 hours prior to depo; adhere to technology protocols for each and every room
  • Greet and welcome all visitors in a pleasant, respectful and welcoming demeanor
  • Ensure front desk coverage during normal business hours and as needed during off-hours
  • Track office supplies and reorder
  • Use Vision to manage conference room usage
  • Contribute to ongoing operations during 'downtime' which includes entry of Snap Scheduling, deposition notice entry, office mail sorting and distribution, updating client profiles, follow up on late transcripts
  • Maintain a professional appearance of all conference rooms and client-facing areas. (e.g., ensure supplies are refilled and stocked; areas are clean, tidy and welcoming; chairs and tables are arranged properly)
  • Enforce Veritext security and health policies for all visitors
  • Act as primary point of contact for all guests; actively help with all logistics and requests; build rapport with clients/partners/visitors
  • Treat independent contractors as "key members of our team"; go out of your way for them and ensure they are set up for success
  • Be knowledgeable and educate clients and ICs on Veritext product and services, and encourage their use (promote the value and "sell")
    • Proactively assist clients with all deposition-related technology, including facilitating myVeritext, Veritext Virtual and Exhibit Share access; provide troubleshooting of products and services and/or know where to direct the inquiry/escalation
