Scheduling Coordinator

This position is $18/hour plus monthly bonus. This is a FT position with possibility of extended hours and/or Saturday coverage.

Position Summary: We are seeking a highly organized, customer-focused Scheduling Coordinator to support our cosmetic practices. This role is responsible for timely follow-up on cosmetic leads, appointment scheduling, administrative support, and coordination of cosmetic services and retail skin care product inventory. The ideal candidate is proactive, detail-oriented, and thrives in a patient-centered, fast-paced environment.

Essential Duties and Responsibilities:

Lead Follow-Up & Patient Coordination:

  • Respond promptly to new cosmetic leads via phone, email, text, or web inquiries.
  • Guide prospective patients through available services, pricing ranges, and consultation processes (no medical advice required).
  • Maintaining and updating lead databases/CRM systems to track communication, conversion rates, and next-step actions.
  • Schedule consultations, follow-up appointments, pre- and post-procedural visits.
  • Ensure patients receive clear information about preparation instructions, arrival expectations, and policies.

Administrative & Inventory Support:

  • Assist with inventory tracking of skincare products, injectables, and supplies for cosmetic services.
  • Support administrative processes such as scanning, filing, and data entry.
  • Update service menus, pricing sheets, and patient-facing materials when changes occur.

Customer Service & Communication:

  • Deliver exceptional customer service in every interaction.
  • Maintain professionalism, empathy, and discretion when working with cosmetic patients.
  • Provide general information about procedures, products, and promotions (non-clinical).

Experience Requirements:

  • Prior experience in a medical spa, cosmetic practice, dermatology, or aesthetic environment preferred.
  • Strong customer service and communication skills (phone, email, text).
  • Excellent organizational skills with the ability to multitask and prioritize.
  • Comfort working with scheduling systems, CRM tools, and electronic health records.
  • High attention to detail and ability to work independently.
  • Professional demeanor and positive, team-oriented attitude.

Education, Licensure & Certification Requirements:

  • High School diploma or equivalent
  • Associates degree or related healthcare certification, preferred

Knowledge, Skills and Abilities Requirements:

  • Strong attention to detail and accuracy, professional attitude, reliability
  • Ability to handle confidential and sensitive information
  • Ability to communicate in an active multi-office environment
  • Ability to efficiently operate all job-related office equipment

  • Basic to intermediate computer operation
