About Us

Austin Cosmetic Surgery is seeking a dependable, organized, and personable Office Administrator to support the day-to-day operations of our practice. This role is essential to keeping our office running efficiently by providing administrative support, maintaining organization, and creating a welcoming environment for both patients and staff.

The ideal candidate is detail-oriented, proactive, and enjoys working behind the scenes to ensure everything stays organized and on track. While there are occasional marketing-related projects, this is primarily an administrative support role.

Responsibilities

Administrative Support

Answer and direct incoming phone calls professionally and courteously

Respond to all voicemails and Text promptly

Monitor and respond to office email inquiries

Scan, upload, and organize patient charts and documentation within our electronic medical record system

Maintain accurate digital and physical filing systems

Assist providers and staff with general administrative tasks

Ensure forms, records, and documentation are complete and properly filed

Office Operations

Maintain a clean, organized, and professional front office environment

Order and organize office supplies

Assist with daily office workflow and administrative projects

Help keep common areas presentable and stocked throughout the day

Support the team with miscellaneous office duties as needed

Marketing Support (Limited)

Assist with organizing marketing files and assets

Help coordinate patient reviews and testimonials

Support basic email marketing or social media tasks as assigned

Assist with occasional marketing and administrative projects

Qualifications

Minimum of 2 years of administrative or office experience (medical office experience preferred)

Strong organizational and time management skills

Excellent verbal and written communication skills

Professional, friendly, and dependable

Ability to multitask and work efficiently in a fast-paced environment

Proficiency with Microsoft Office and Google Workspace

Experience with electronic medical records is preferred

Experience using Modernizing Medicine (ModMed) is a strong bonus

Preferred Experience

Candidates with experience in cosmetic surgery, plastic surgery, medical aesthetics, dermatology, dental, or other healthcare offices are encouraged to apply.
