California Ave โ Lower-Level Chicago, IL 60608Union: AFSCME 3696Grade: 13ย Salary: $56,018 Reports to: Director of Finance & Director of CashieringEssential Duties:
- Accurately interpret the financial conditions of all court orders to the departmentโs case management system.ย Ensure the accuracy of all case-related financial information prior to creating financial records.
- Handle all inbound and outbound calls and voicemails. Respond professionally and appropriately to customer complaints and inquiries.
- Verify, accept and accurately process payments received from probationers. Research and resolve payment and disbursement discrepancies prior to posting.
- Troubleshoot, cancel and/or create court ordered financial obligations as needed.ย
- Balance daily deposit to the case management system. Prepare and verify daily excel reconciliation spreadsheet and bank deposits.
- Prepare and process daily disbursements to victims and weekly disbursements to court agencies. Print, record, prepare, stamp envelopes and mail out checks, as necessary.
- Research, follow-up and resolve all intake and case-related errors and inquiries from victims, department personnel, court officers, Stateโs Attorneys and the Clerkโs Office to resolution utilizing all available resources (cFive, Odyssey Portal, Promis, Lexis Nexis, usps.com, online searches, etc).
- Monitor shared fee unit email accounts and ensure all emails received are responded to and followed through to resolution.
- Monitor the online bank account for daily exceptions, returned checks and other bank discrepancies and escalate to management when needed.ย
- Assist with reconciling monthly bank statements, checks outstanding and open accounts.
- Process Probation Fee modifications, court-ordered and all other case modifications and adjustments.ย
- Prepare and mail financial letters.
- Maintain accuracy and consistency of all office logs and filing of work processed.
- Complete all required training, staff seminars and meetings as required.
- Perform all other duties that are assigned to ensure that every cashier office function is completed daily.ย
Qualification Requirements:- Spanish speaking applicants will be given preference.
- Establish residency in the State of Illinois within 90 days of hire.
- High School graduate or G.E.D. equivalent.
- Knowledge of Microsoft Word and Excel programs, including ability to create documents and spreadsheets, and accurate typing skills (45 wpm).
- Willingness to learn departmentโs case management system (PROMIS/cFive), which is utilized to enter case-related data
- Possess strong language mechanics โ grammar, sentence structure, spelling, proofreading skills.
- Attentiveness to detail and sensitivity to issues of confidentiality and professionalism.
- Possess excellent filing, organizational skills.
- Demonstrates stability under pressure or opposition.
- Ability to perform a variety of tasks, often changing assignments on short notice.
- Ability to work and interact with staff, public, and defendants/probationers.
