Job description

Overview
The Document Manager is responsible for managing the Contract Data Requirements List and the program data library for a complex technical program. This position oversees the receipt, tracking, organization, review coordination, storage, control, and distribution of program documentation and data deliverables in accordance with contractual requirements, program processes, and configuration management standards. The Document Manager works closely with program management, engineering, contracts, quality, configuration management, logistics, and customer representatives to ensure required data items are developed, submitted, approved, archived, and maintained in a controlled and accessible manner. This role supports document lifecycle management for technical, programmatic, contractual, and support data across the full program lifecycle.
Responsibilities
As a Data and Configuration Management Analyst with AMERICAN SYSTEMS you will have the opportunity to do the following:
  • Manage the Contract Data Requirements List and associated data item deliverables for a complex technical program.
  • Maintain and administer the program data library, including document repositories, metadata, access controls, filing structures, and retention practices.
  • Track contractually required data item deliverables, submittal dates, review cycles, approval status, comments, revisions, and final disposition.
  • Coordinate document routing, review, comment adjudication, approvals, and customer submissions.
  • Ensure program documents and data are properly identified, version controlled, indexed, stored, and retrievable.
  • Support compliance with contractual, customer, organizational, and configuration management requirements related to documentation and data deliverables.
  • Maintain logs, trackers, status reports, and dashboards for CDRL items, action items, document workflows, and library contents.
  • Coordinate with authors, engineers, program managers, contracts personnel, quality representatives, and customer stakeholders to ensure timely development and submission of required documents.
  • Support document quality checks for format, completeness, versioning, distribution statements, naming conventions, and submission readiness.
  • Control incoming and outgoing program documentation, including formal deliverables, transmittals, and records of receipt and acceptance.
  • Support audits, program reviews, and customer data calls by providing current status and controlled access to required records.
  • Maintain historical records, archives, and traceability for document revisions, submissions, approvals, and correspondence.
  • Assist with process improvement for document control, data management, and digital library organization.
  • Support transition and closeout activities related to documentation, records retention, and final data turnover.

THIS HYBRID POSITION REQUIRES 3 DAYS OF WORK IN THE OFFICE AND 2 DAYS REMOTE PER WEEK
Qualifications
  • Bachelor's degree in a related field.
  • Secret Clearance
  • Relevant experience in document management, records management, data management, configuration management support, or program administration.
  • Experience managing contract deliverables, technical documentation, or controlled records in a complex program environment.
  • Familiarity with Contract Data Requirements Lists, data item tracking, and formal document control processes.
  • Experience maintaining structured document repositories or program data libraries.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple document workflows, deadlines, and stakeholder coordination tasks.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and document management tools.

Pay Transparency Statement
AMERICAN SYSTEMS is committed to pay transparency for our applicants and employee-owners. The salary range for this position is USD $69,500.00/Yr. - USD $116,000.00/Yr. Actual compensation will be determined based on several factors permitted by law.
