Job description

The DMS Group, Division of Tribe Management Inc., is currently seeking a Property Administrator to join our team in Toronto . The Property Administrator works under the direction of the Property Manager to oversee the administrative and maintenance operations of a particular portfolio/development. They will be responsible for meeting all contractual obligations and deliverables as well as achieving or exceeding the company’s and client’s key performance indicator targets.

Reporting to the Senior Property Manager of the Portfolio, we are looking for a Property Administrator. Here is a list of responsibilities and skills we are looking for; however, we are willing to train the right person.
Key Responsibilities
As a member of the Property Management team, the key responsibilities of the Property Administrator include, but are not limited to:
  • Providing general administration and support to the property management office.
  • Assisting with vacancy and arrears management.
  • Preparing and processing legal forms and notices, including N4, N5, and other applicable forms.
  • Maintaining and administering tenant files and ensuring documentation is accurate and up to date.
  • Assisting with lease administration and related documentation.
  • Providing professional and timely tenant liaison and communication.
  • Inputting and processing maintenance-related purchase orders and other administrative financial information as required.
  • Supporting the Property Management team with day-to-day administrative and operational requirements.
  • Performing other duties and assignments within the scope, spirit, and purpose of the position as reasonably requested by management from time to time.
Desired Skills and Experience
To succeed in this role, the candidate should possess a combination of education, experience, and demonstrated skills, including:
  • Residential property management experience is considered an asset.
  • An asset if you have experience using Yardi or similar property management and financial software.
  • Knowledge of the Residential Tenancies Act (RTA) is considered an asset.
  • Strong organizational skills and the ability to manage multiple priorities and meet deadlines effectively.
  • Demonstrates a high degree of integrity, professionalism, accountability, and sound judgment.
  • Superior oral and written communication skills.
  • Strong computer skills, including proficiency in Microsoft Word, Excel, and Outlook.
  • Strong administrative experience, preferably within residential property management.
  • Energetic and collaborative approach to the workplace, with the ability to lead by example and demonstrate a positive, solutions-oriented “can-do” attitude.
  • Ability to positively influence, motivate, and work effectively with team members and colleagues.
  • Proven ability to identify, evaluate, and develop new ideas and approaches that produce practical and supportable results.
  • Strong analytical and problem-solving skills, with the ability to apply logic and sound reasoning when managing projects, reviewing information, and addressing complex financial, legal, and contractual matters.
  • Ability to assess situations, identify appropriate solutions or recommendations, and communicate those recommendations effectively to management.
  • Ability to work independently, take initiative, prioritize responsibilities, and manage tasks with minimal supervision while knowing when to seek guidance or support.
