Position Summary

The Procurement Manager - Order-to-Installation leads a team of seven Project Managers and two Contract Specialists responsible for moving each customer project from finalized sale through accurate custom ordering, manufacturer confirmation, material readiness, and installation. This leader establishes the team's operating standards, balances workload and capacity, coaches performance, resolves critical order-related escalations, and partners closely with Sales, Remeasure, Installation, Customer Service, and Warehouse teams to protect the installation schedule.

At Next Door & Window, Contract Specialists enter completed sales into the company's systems, ensure all required sales paperwork and information are received, and support the change-order process. Project Managers oversee the custom ordering process for each job, including order validation, manufacturer communication, tracking, and installation readiness.

This role is accountable for the team's speed, accuracy, communication, and ability to identify and resolve risks before they delay or disrupt an installation. The position does not set product pricing or own warehouse inventory; instead, it ensures the Project Management team executes the sales-to-installation workflow with discipline and urgency.

Key Responsibilities
  • People Leadership: Lead, coach, develop, and hold accountable a team of seven Project Managers and two Contract Specialists. Establish clear expectations, conduct regular one-on-ones and performance reviews, support hiring and onboarding, and create development plans that strengthen product knowledge, system discipline, judgment, and execution.
  • Order-to-Installation Execution: Own the team's process from sales-file completion through installation readiness. Ensure Contract Specialists enter completed sales promptly, verify that required paperwork and information are complete, and support timely change orders. Ensure Project Managers validate specifications and selections, release accurate custom orders, secure manufacturer acknowledgements, track promised dates, and confirm installation readiness.
  • Quality and Accuracy: Establish quality-control practices that reduce preventable order corrections, remakes, missing components, and installation-day surprises. Review error trends, identify root causes, and use findings to coach team members and improve standard work.
  • Workload and Capacity Management: Monitor the sales-entry queue, file-completeness issues, change-order workload, open-order aging, team capacity, and upcoming installation demand. Assign and rebalance work so that Contract Specialists and Project Managers can manage their workloads effectively and urgent or at-risk jobs receive timely attention.
  • Escalation Management: Lead the resolution of critical order issues involving product discrepancies, supplier delays, damage, customer changes, or installation-date risk. Ensure timely, factual communication and clear ownership of corrective actions.
  • Cross-Functional Partnership: Partner with Sales, Remeasure, Installation, Customer Service, and Warehouse teams to improve handoffs, maintain visibility into order status, and ensure materials are complete and ready before scheduled installations.
  • Process Improvement and Reporting: Use data and team feedback to identify workflow bottlenecks, improve systems and documentation, strengthen communication routines, and provide leadership with clear visibility into readiness, risk, and performance trends.
Required Qualifications
  • Five or more years of relevant experience in order management, project coordination, customer operations, purchasing execution, production coordination, or building-products operations.
  • At least two years of experience leading, coaching, or formally supervising a team, ideally in an order-management, customer-operations, project-coordination, or similar execution-focused environment.
  • Demonstrated success managing high-volume, deadline-driven work while maintaining strong accuracy and communication.
  • Familiarity with ERP, CRM, order-management, or project-management systems used in a residential remodeling or building-products environment.
  • Strong ability to analyze operational data, manage competing priorities, solve problems, and make sound decisions under time pressure.
  • Bachelor's degree in business, operations, supply chain, or a related field; equivalent relevant experience is also valued.
  • Excellent written and verbal communication skills, with the ability to work effectively across Sales, Remeasure, Installation, Customer Service, Warehouse, and supplier partners.
  • Advanced Excel or reporting capability.

Compensation and Benefits
