Contract Administration

We are seeking an experienced Contract Administrator to build, implement, and oversee our contract administration function. This is not a position stepping into an established department. We are looking for a self-directed professional with proven experience building or leading a contracts department within the construction industry.

The ideal candidate will have extensive knowledge of construction contracts, compliance, licensing, insurance requirements, and subcontractor management. They will develop processes, establish best practices, and create efficient workflows while serving as the company's subject matter expert on contract administration. This role requires someone who is confident making decisions independently and requires minimal direction.

Primary Duties & Responsibilities

• Develop, implement, and manage the company's contract administration processes and procedures.
• Review, negotiate, administer, and maintain construction contracts, subcontracts, change orders, amendments, and other contract documents.
• Manage contracts with both General Contractors and subcontractors, ensuring compliance with all contractual obligations.
• Ensure all contract documentation is accurate, complete, organized, and properly maintained.
• Serve as the primary resource for contract-related questions, providing guidance and support to project managers and leadership.
• Coordinate with internal departments and external partners to resolve contract issues and minimize risk.
• Monitor contract compliance and perform periodic audits to ensure contractual and regulatory requirements are met.
• Establish and maintain subcontractor compliance, including verification of:
  • Business licenses
  • Contractor licenses
  • Workers' compensation coverage
  • Certificates of Insurance (COIs)
  • Other required documentation
• Request, review, and manage Certificates of Insurance for both company projects and subcontractors.
• Coordinate bonding requests for projects and maintain relationships with bonding providers.
• Complete and submit contractor pre-qualification packages for General Contractors.
• Manage company business licenses, contractor licenses, and renewals.
• Oversee company alarm monitoring contracts and related vendor agreements.
• Set up new projects within Computer Ease (or similar ERP system).
• Stay current on industry regulations, contract requirements, and construction best practices.
• Recommend and implement process improvements that increase efficiency, reduce risk, and support company growth.

Qualifications

Required

• Proven experience building a contract administration department from the ground up or managing an established contracts department within the construction industry.
• Minimum of five (5) years of construction contract administration experience.
• Strong working knowledge of construction contracts, subcontract agreements, contract law principles, compliance requirements, and risk management.
• Experience managing contracts for both General Contractors and subcontractors.
• Strong organizational skills with exceptional attention to detail.
• Excellent negotiation, communication, and problem-solving abilities.
• Ability to work independently, prioritize competing deadlines, and make sound decisions with minimal supervision.
• Proficiency with Microsoft Office Suite and Computer Ease or a comparable construction ERP system.

Preferred

• Knowledge of contractor licensing and insurance requirements.
• Experience with construction bonds and surety processes.
• Experience managing contractor prequalification programs.
• Familiarity with company insurance policies and risk management practices.
