Job description

Job Summary:

Our Field Service Coordinators, internally referred to as Regional Supervisors, are primarily involved in inventory management, with our inventory being the orders placed by our customers. These orders can involve requests for information, site visits, safety assessments, and underwriting data gathering. It's the job of the Regional Supervisor to oversee and coordinate assignments to assure an on-time delivery of a quality product for our customers.

Responsibilities:Client Communications
  • Serve as a primary point of contact for clients regarding inspection status and service needs.

  • Communicate delays, request extensions, and provide timely updates.

  • Facilitate information requests between clients and field representatives.

  • Resolve customer concerns and complaints in accordance with company policies.

  • Build strong client relationships and provide exceptional service.

  • Collaborate with leadership to identify trends and recommend operational improvements.

Inventory Management
  • Monitor inspection inventory and report status to ensure on-time delivery.

  • Maintain regular communication with vendors regarding open assignments.

  • Identify and address service delays early in the inspection lifecycle.

  • Coordinate extension requests and report closeouts with clients.

  • Assign inspections and manage workload distribution across the territory.

  • Leverage support staff and operational tools to maintain service standards.

Territory Management & Contractor Relations
  • Manage vendor coverage and assignment strategies within the assigned region.

  • Support and orient newly approved vendors.

  • Maintain knowledge of vendor capabilities, specialties, and territory needs.

Additional Responsibilities
  • Participate in special projects, process improvement initiatives, and other duties as assigned.

Requirements:
  • Strong organizational, time management, and problem-solving skills.

  • Ability to manage multiple priorities in a fast-paced environment with minimal supervision.

  • Strong verbal and written communication skills.

  • Demonstrated ability to build and maintain relationships with clients, vendors, and internal stakeholders.

  • High attention to detail and commitment to service excellence.

  • Proficiency in Microsoft Outlook, Word, and Excel.

  • Ability to work independently while contributing to a collaborative team environment.

  • Ability to exercise sound judgment and make timely business decisions.

Education and Experience:
  • Associate degree or higher preferred.

  • Minimum two years of professional business experience, customer service or administrative work.

  • Experience in vendor management, territory management, client service, or insurance-related operations preferred.
