Job description

Help keep restoration projects accurate, compliant, and moving from intake through final closeout. Team Hart, a multi-location organization made up of five independently owned SERVPRO franchises, is seeking an experienced Restoration Job File Coordinator to manage documentation, deadlines, and job-file quality across active restoration projects.
This full-time position may be performed remotely within the United States or from our headquarters in Sugar Land, Texas. Remote employees must be available from 8:00 AM to 5:00 PM Central Standard Time.
WHAT YOU WILL DO
• Maintain complete, accurate restoration job files from lead intake through completion, billing support, audit, and closeout.
• Review WorkCenter project records, Client Requirements, correspondence, forms, photographs, estimates, and supporting documents for accuracy and completeness.
• Track Initial, Daily, and Final upload requirements, due dates, automated scrub results, returns, and corrective actions.
• Review field documentation and drying records, identify missing or inconsistent information, and coordinate corrections with production and project teams.
• Organize job-file uploads and confirm that required documents are signed, dated, readable, correctly labeled, and included in the proper submission.
• Monitor open work orders, audit activity, carrier or TPA requirements, and next actions across multiple active files.
• Communicate clearly with managers, field teams, customers, adjusters, and program contacts while maintaining accurate internal notes.
• Protect confidential customer and claim information and follow documented requirements rather than guessing.
REQUIRED QUALIFICATIONS
• Resume-documented experience in restoration administration, job-file coordination, job-file building, claims documentation, or restoration file uploads.
• Resume-documented experience working with a restoration third-party administrator or claims program. Experience with Contractor Connection, Sedgwick, Alacrity, WorkCenter, or similar systems is strong evidence of relevant experience.
• Stable employment history, generally no more than two employers during the past five years. Promotions or documented role changes with the same employer count as one employer.
• Strong organization, written communication, attention to detail, and ability to manage multiple deadlines without losing accuracy.
• Ability to work independently during the required Central Standard Time schedule.
SERVPRO experience is highly preferred. Experience with WorkCenter, Xactimate, XactAnalysis, DryBook, DBMX, JobTrack, or similar restoration platforms is also valuable.
