Job description:

Royal Restoration is a growing property damage restoration company specializing in emergency water mitigation, mold remediation, fire and smoke mitigation, contents services, and reconstruction.
We work closely with insurance carriers, third-party administrators (TPAs), property managers, and homeowners to deliver fast, compliant, and high-quality restoration services.
We are seeking an experienced Restoration Project Coordinator to coordinate projects across our Emergency Mitigation, Contents, and Reconstruction divisions. The ideal candidate will have strong restoration-industry experience, knowledge of insurance and TPA workflows, and the ability to manage multiple projects from intake through completion and invoicing.
Position Overview
The Restoration Project Coordinator is responsible for supporting and coordinating restoration projects throughout the entire job lifecycle.
This position handles emergency mitigation, mold remediation, fire and smoke mitigation, contents, and reconstruction projects. The coordinator will work closely with project managers, field teams, estimators, customers, adjusters, subcontractors, and TPA reviewers to keep projects organized, compliant, and moving forward.
This role is ideal for someone who understands restoration workflows, insurance documentation requirements, and the urgency of property damage claims.
Key Responsibilities
  • Coordinate water mitigation, mold remediation, fire and smoke mitigation, contents, and reconstruction projects
  • Manage new job intake, customer contact, work authorizations, contracts, and required insurance documentation
  • Coordinate emergency dispatches, inspections, crew schedules, equipment, subcontractors, and project milestones
  • Track projects from initial assignment through mitigation, contents handling, repairs, completion, and invoicing
  • Maintain compliance with TPA programs, including:
    • Contractor Connection
    • Alacrity
    • Sedgwick
  • Perform, review, and maintain MICA moisture mapping and drying documentation
  • Upload and manage photographs, moisture readings, drying logs, reports, estimates, invoices, and completion documents
  • Communicate regularly with customers, adjusters, TPA reviewers, property managers, subcontractors, and internal team members
  • Assist project managers and estimators with estimates, supplements, change orders, approval requests, and documentation
  • Coordinate contents pack-outs, inventories, cleaning, storage, and pack-backs
  • Track reconstruction schedules, material selections, permits, subcontractors, inspections, and customer approvals
  • Ensure projects meet TPA KPIs, carrier requirements, internal deadlines, and documentation standards
  • Monitor job statuses and follow up on outstanding approvals, documents, payments, and customer decisions
  • Maintain accurate notes, task lists, project updates, and internal reports
  • Help prevent project delays, documentation deficiencies, billing issues, and payment denials
  • Support project managers, estimators, accounting staff, and field teams throughout the project lifecycle
  • Provide professional and timely communication to customers and insurance representatives
Required Qualifications
  • Experience coordinating restoration, construction, or insurance-related projects
  • Experience with emergency mitigation, contents, and/or reconstruction workflows
  • Hands-on experience with TPA programs is strongly preferred, including:
    • Contractor Connection
    • Alacrity
    • Sedgwick
  • MICA moisture mapping software experience is strongly preferred
  • Understanding of water mitigation documentation, moisture mapping, drying standards, and job-site reporting
  • Understanding of reconstruction scheduling, change orders, material selections, and project documentation
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple active projects in a fast-paced environment
  • High attention to detail and strong follow-through
  • Ability to communicate professionally with customers, adjusters, reviewers, subcontractors, and field personnel
  • Comfortable using restoration estimating, documentation, and project-management software
Preferred Qualifications
  • Xactimate experience
  • Experience with Dash, MICA, XactAnalysis, or similar restoration software
  • Experience with large-loss or multi-unit restoration projects
  • Knowledge of insurance billing, invoicing, supplements, and payment processes
  • Experience coordinating contents pack-outs and pack-backs
  • Prior restoration, insurance, or construction office experience
  • Knowledge of TPA performance metrics, service-level requirements, and documentation standards
