Job description

ServiceMaster Clean Moncton is looking for a full time Administrative Assistant / Bookkeeper to join our office team. Reporting to the Office Manager, the selected candidate will be responsible for duties related (but not limited) to; invoicing, purchasing, payroll, banking, reporting, account reconciliations, budgeting, etc. The role will be Monday to Friday 10:00am to 3:30pm daily or extended as needed. 
The following is a list of essential duties and responsibilities of this job. The tasks and the time spent performing each task may vary as business needs. ServiceMaster Clean Moncton maintains the right to modify job duties and responsibilities at its discretion.
Key areas of responsibility include:
  • Recording financial transactions, such as sales, bank transactions, payroll expenses, bank transactions, payroll expenses and purchases
  • Using Accounting software and spreadsheet software
  • Reconciling bank statements to company records
  • Processing payroll, including calculating wages and deductions, payroll accrual, ROE's, T4's
  • Ensuring financial activities comply with tax, payroll and foreign currency regulations
  • Performing accounts payable duties, including keeping track of supplier invoices and remitting timely payments
  • Overseeing accounts receivable by creating invoices, tracking payments and collecting overdue accounts
  • Maintain organized financial records and documentation for audits, quarterly and year-end 
  • File remittance and company filing, such as, GST/HST, corporate taxes, royalty reporting, WorkSafe
  • Maintain Company Insurance, such as Liability Insurance, Life & Group Insurance, Automobile, Contractors Compliance, Facility Insurance
  • Receptionist Duties: Provide administrative support where required
The ideal candidate will have:
  • Post-secondary degree or diploma with a focus in accounting or general business
  • 5+ years of practical experience
  • Franchisee Model financial experience
  • Demonstrated experience with Quickbooks and Payroll Software
  • Advanced knowledge of general accounting principles, reconciliations & budgets
  • Excellent knowledge of Office 365 Microsoft Excel, Word, Outlook and Teams
