Job description

This is an in-office role based in Spartanburg, SC
OTO Development is pleased to announce a wonderful opportunity for a Vendor Manager/IT Project Coordinator
About the Role
We're looking for someone who is highly organized, communicates well with both technical and non-technical people, and has enough technical aptitude to ask the right questions, understand vendor proposals, and hold vendors accountable to scope and timelines. This role is not a hands-on engineering position. Our IT team is strong on technical talent but needs someone to keep vendor-driven projects organized, on schedule, and clearly communicated across stakeholders. You'll serve as the primary point of contact for IT vendors and contractors, manage project timelines and budgets, and make sure work gets delivered as promised-translating between our technical staff and outside vendors so nothing falls through the cracks.
What will you be doing most days?
  • Own day-to-day relationships with IT vendors and contractors: contracts, SOWs, renewals, and performance against agreed deliverables.
  • Manage vendor-led projects end to end -schedules, milestones, budgets, and status reporting to internal stakeholders and leadership.
  • Translate between technical staff and vendors so requirements, blockers, and risks are clearly understood by both sides.
  • Track project budgets and invoices against contracts; flag scope creep, delays, or cost overruns early.
  • Run regular check-ins and status meetings with vendors; keep meeting notes, action items, and decisions documented.
  • Maintain a clear record of active vendors, contracts, renewal dates, and project status.
  • Coordinate onboarding/offboarding of vendor resources (access requests, security/compliance requirements, etc.)
  • Escalate issues appropriately and help resolve conflicts between vendor commitments and internal priorities.
  • Support RFP/vendor selection processes: gathering requirements, comparing proposals, and summarizing trade-offs for decision-makers.

What are the requirements for this position?
  • 3+ years of experience in vendor management, project coordination, IT operations, or a related role (less experience considered if aptitude is clearly strong).
  • Excellent organizational skills-comfortable juggling multiple vendors and projects without dropping details.
  • Strong written and verbal communication: able to run a meeting, write a clear status update, and push back on a vendor diplomatically but firmly.
  • Working knowledge of IT concepts and terminology (e.g., networks, software implementations, support tickets, basic infrastructure)-enough to follow technical conversations and ask informed questions, not to write code.
  • Comfortable reading and managing contracts, SOWs, and budgets
  • A bias towards follow-through tracks open items, sets reminders, and closes loops without being chased.
  • Experience with project management tools and basic familiarity with ticketing systems.

Physical Requirements for this Position
You must be able to walk and stand for extended periods of time as the job dictates.
Travel Requirements
This position will require occasional travel (up to 10%). Travel may be out of state and overnight.
