    University Assistant - Fiscal Affairs (Contracts and Procurement)
    This is a temporary, part-time position, which may be renewed at the discretion of the University.
    Hours/Week: 19 hours per week. The UA is expected to work 19 hours per week. The exact schedule will be established between the Supervisor and the successful applicant to meet the needs of the department.

    Position Summary
    The Part-Time Contract Support Assistant provides administrative support to the University's Fiscal Affairs team by assisting with basic contract review, vendor documentation, and standardized agreements. Working up to 19 hours per week, this role focuses on routine contract tasks and helps ensure vendor paperwork aligns with established university, system, and state guidelines.
    Specific Duties
    • Contract Review Support
      • Assist in reviewing vendor purchase orders and agreements for standard terms and conditions.
      • Flag common contractual provisions that are not permitted for state agencies using established guidance (e.g., indemnification, governing law).
      • Prepare draft responses or standard language for vendor communications, subject to team review.
    • Template-Based Agreements
      • Prepare and process simple, templated agreements using pre-approved university forms.
      • Ensure required fields and standard clauses are completed accurately and consistently.
      • Route agreements for internal review and signatures as needed.
    • Vendor Documentation Assistance
      • Help maintain records of contracts, agreements, and related procurement documentation.
      • Coordinate routine follow-ups with vendors regarding missing or corrected paperwork.
      • Support basic communication with vendors using standard messaging.
    • Research Support
      • Assist in identifying existing state or cooperative contracts under direction.
      • Gather information to support procurement staff in determining appropriate contract sources.
    • Administrative Support
      • Maintain organized electronic files and tracking logs.
      • Provide general clerical support to the Business Services team as needed.

    Qualifications
    • Associate's or Bachelor's degree in a related field, or equivalent experience.
    • Prior experience in an administrative, legal support, or clerical role preferred.
    • Familiarity with basic contract terminology or legal documents (paralegal experience is a plus).
    • Strong attention to detail and ability to follow established procedures.
    • Effective written and verbal communication skills.
