Job description

Bells Transport is seeking a hands-on Transportation Safety & Compliance Coordinator to manage DOT safety, regulatory compliance, and fleet registration for our RV transportation and multi-haul operations. This is an execution-focused, on-site role requiring real-world experience with FMCSA regulations, Indiana IRP, and contractor-based fleets.

This position plays a critical role in protecting DOT compliance, CSA scores, and operational continuity.

Key Responsibilities

  • Ensure compliance with FMCSA and FMCSR regulations

  • Audit DOT Hours of Service and manage ELD compliance by utilizing company-provided software systems (training provided)

  • Maintain driver qualification files (DQFs), including monitoring expirations for medical cards, CDL status, MVRs, annual reviews, and other required documents using company-provided software systems (training provided)

  • Track and enforce timely renewal of driver credentials and compliance documentation

  • Maintain vehicle files, accident registers, and safety documentation

  • Prepare for and respond to DOT audits, inspections, and compliance reviews

  • Manage fuel and mileage-based tax compliance, including IFTA, NY HUT, and New Mexico Weight Distance Tax filings

  • Administer Indiana IRP apportioned registrations, including plate apportionment, renewals, mileage reporting, and audit support for semi-trailer and multi-haul fleet units

  • Investigate accidents and violations; implement corrective actions

  • Administer DOT Drug & Alcohol Program, including pre-employment testing, random testing consortium coordination, post-accident testing, reasonable suspicion processes, and Clearinghouse queries and reporting

  • Manage FMCSA Clearinghouse compliance, including annual and pre-employment queries

  • Coach and enforce compliance standards with drivers and 1099 independent contractors

  • Monitor CSA scores and proactively reduce compliance risk

  • Produce compliance and safety reports for leadership and identify compliance gaps and escalate risks to leadership with recommended corrective actions

  • Verify completion and compliance of DVIRs and required inspection documentation

  • Partner with dispatch and operations to ensure safe, compliant load execution

Required Qualifications

  • Strong working knowledge of FMCSA and FMCSR regulations

  • Proven DOT HOS auditing experience

  • Working knowledge of IFTA programs

  • Experience managing and monitoring DQF compliance and expirations

  • Experience with Indiana IRP or multi-state apportioned truck registrations

  • Experience supporting RV transportation or commercial vehicle operations

  • Experience working with independent contractors (1099) drivers

  • Familiarity with ELD systems (Samsara, Omnitracs, Keep Truckin’, or similar)

  • Proficient in Microsoft Excel, Word, and PDF documentation

  • Highly organized, audit-ready, and able to work independently

  • Reliable attendance and professional conduct

Helpful Qualifications

  • Prior Safety Coordinator, Safety Manager, or Compliance role

  • DOT audit or compliance review experience

  • Knowledge of CSA scoring

  • NATMI, OSHA 30, or similar safety certifications

Work Environment

  • On-site, Monday–Friday, 9:00am-5:00pm EST, with occasional after-hours availability for time-sensitive compliance matters.
