Job description

This position is not open to applicants residing in or otherwise based in California, New York, or Massachusetts. Additionally, applicants must be located in the Eastern, Central, Mountain, or Pacific time zones.


Engagement Details

As a contract Placement Affiliation Agreement Administrator, you will support clinical affiliation agreement work across multiple university partner programs. You will manage agreements from the first request through final signature, bringing order to a complex, relationship-driven process so students can get into their placements without a hitch. This work spans clinical facilities, school partners, and internal stakeholders and calls for strong written communication, careful contract review, and the ability to keep multiple accounts moving at once.


This is a remote, part-time, hourly, 1099 independent contractor role.


Contractors can expect to contribute approximately 25 or more hours per week. This includes participation in essential coordination meetings held during standard business hours. Contractors have autonomy in managing their work schedule, provided that deadlines, quality standards, and agreed-upon deliverables are met.


Scope of Work

  • Manage clinical affiliation agreements from initial request through final signature and database entry across multiple university partner programs
  • Coordinate between school partners, clinical facilities, and internal legal counsel throughout the negotiation and agreement process
  • Review contract language and attachments for accuracy, appropriateness, and program-specific requirements before agreements move forward
  • Track the affiliation agreement pipeline and deliver regular status updates so internal stakeholders stay informed on contract progress and any escalation needs
  • Coordinate time-sensitive agreement requests during peak placement periods alongside the placement team
  • Keep site, preceptor, and contract data accurate and current within Exxat
  • Identify site-specific and state-specific student clearance requirements across clinical agency locations
  • Support placement advisors with student compliance and clearance onboarding on a case-by-case basis, including data entry and status tracking in the placement portal
  • Deliver data summaries and pipeline reports to support internal stakeholder communication and placement coordination.


Qualifications

  • Bachelor's degree required
  • 3+ years of experience in higher education, preferably in field placement, clinical education, or contracts coordination
  • Demonstrated experience facilitating clinical affiliation agreements, MOUs, or education affiliation agreements
  • Strong written communication skills with the ability to correspond professionally and precisely with external partners and facilities
  • Highly organized with the ability to manage a high-volume pipeline across multiple concurrent accounts
  • Comfortable working in Google Workspace (Sheets required) and clinical placement management systems; Exxat experience strongly preferred
  • Familiarity with FERPA and appropriate handling of student records and PII
  • Able to manage competing project timelines and prioritize independently.
