JOB DESCRIPTION and RESPONSIBILITIES

The Assistant Property Manager is responsible for assisting the Property Manager and/or Senior Property Manager in organizing and coordinating the activities of properties within a portfolio, including physical property management, financial and budget reporting, and tenant relations. This position may have oversight of 1-2 assets directly while assisting Property Manager and/or Senior Property Manager with his or her assigned portfolio. Specific responsibilities include:

  • Assist in developing and maintaining positive tenant relations by creating and sustaining good will between landlord and tenant by providing consistently responsive quality services.
  • Assess tenant satisfaction and create and implement action plans to improve this metric.
  • Collaborate on preparation and administration of operating and capital budgets, manage expenses to ensure that the property meets or exceeds budget expectations, and develop monthly reports documenting the results.
  • Assist in preparing monthly reporting and budgets to client, as well as be responsible for other necessary reports, forms, and required documents as instructed.
  • Assist in implementing internal departmental policies and procedures, physical property procedures, controls, and checklists. Enforce rules and regulations of properties and their respective leases.
  • Maintain current service agreements, vendor certificates of insurance, tenant emergency notification information, building life safety and security procedures building certificates of occupancy, warranty manuals, and other records as required by assigned properties. Secure appropriate bids, negotiate, and administrate service contracts.
  • Monitor vendor performance with authority to recommend necessary changes if performance metrics are not met.
  • Monitor and coordinate the completion of work orders. Conduct required maintenance follow up to ensure inspections and work orders are addressed satisfactorily and timely. Provide assistance as required in coordinating and monitoring construction, tenant improvement, capital, and property renovation projects.
  • Acquire a working knowledge of all operations and financial policies, procedures, reporting and systems.
  • Coordinate and assist with tenant move-ins and move-outs.
  • Provide a wide range of support, including administrative, to a Senior or Property Manager.

EDUCATION AND EXPERIENCE

  • High school graduate. Associate's or Bachelor's degree is preferred. Active real estate license is required, and a professional designation (CPM or RPA) is preferred.
  • Commercial Property management, facilities management, and/or brokerage experience or equivalent preferred.
  • Proficient with Microsoft Office Suite. Experience in Yardi Property Management software preferred. Experience with MLS platforms and other real estate databases (CoStar, LoopNet).


ALLOCATION OF TIME

  • Client / Project Work โ€“ 95%
  • Administrative โ€“5%


Travel typically not required, except to visit RTG regional offices as needed for training, teambuilding, or other specific initiatives.
