Job Description
  • This is an admin "floater" for the patent legal department. We are looking for someone with general admin requirements and a Minimum Of 2 Years' Patent Experience. The Administrative Associate will provide a variety of general administrative support throughout the legal patent department.
  • Duties include saving emails to First to File, managing deadlines, typing, preparation, and proofing of general corporate agreements, general correspondence, and various forms and contracts.
  • This position will also provide a high level of professional assistance in answering phones, preparing presentation materials, scheduling meetings, catering, maintaining calendars and making travel arrangements.

Duties include:

  • First to File processing (saving emails and verifying deadlines in IP Manager)
  • File room, DataSafe
  • Meeting scheduling
  • Expense Reports
  • Attorney offsite planning
  • Catering
  • Making binders
  • Scanning/printing/copying
  • Ordering references
  • Process assignments
  • Planning Admin Meetings

Skills:

  • Combination of large law firm experience and/or law firm and in-house experience at a biotech or high tech company strongly preferred. Substantial experience in patent and/or litigation filing is required.
  • Must be detail oriented and possess effective communication skills. Strong technology skills and working knowledge of First-to-File, Thomson IP Manager, and FileTrail are preferred. Successful candidate should be a high-energy self-starter who will thrive in a fast-paced and team-oriented environment.
  • The candidate must be: creative, proactive, self-motivated, flexible, team-oriented able to manage conflicting and changing priorities and perform in a collaborative team environment with minimal supervision. Strong organizational, communication and leadership skills are required as well as the ability to establish strong working relationships with other administrative assistants.
  • Must be proficient with Microsoft Outlook, Word, Excel, PowerPoint.
  • Experience and familiarity with Google Suite (gCal, Gmail, gDoc, etc.). 2+ years' experience in a position requiring patent experience, superior interpersonal, verbal and written communication skills desired.

Education:

  • High School Diploma mandatory, Associates or Bachelor's Degree preferred.
