Responsibilities

This role defines what great looks like in legal operations-bringing structure, speed, and clarity to how Legal supports the business.

The Legal Operations Specialist - Contracts supports the daily operations of a small, fast-moving legal department by managing contract workflows, optimizing legal systems, and enabling business teams to navigate legal processes with confidence. This role blends contract administration, legal operations, and cross-functional coordination, using systems, data, and automation to improve how work gets done.

This individual brings operational discipline to contract lifecycle management while driving efficiency, standardization, and continuous improvement across Legal processes.

1.  Contract Administration & Lifecycle Management

  • Draft and manage routine agreements (NDAs, vendor/service agreements, supply agreements) using standardized templates
  • Conduct first-level contract review, escalating risk and complexity appropriately
  • Own contract lifecycle execution within Agiloft, including intake, tracking, renewals, and repository management
  • Manage approval workflows and signature routing, including follow-up with stakeholders
  • Ensure adherence to signature authority policies and internal controls
  • Partner cross-functionally with Finance, Procurement, Sales, Real Estate, and Operations to facilitate contract execution

2.  Legal Systems & Process Optimization

  • Optimize Agiloft functionality, including templates, workflows, dashboards, and naming conventions
  • Leverage AI tools to streamline contract review, intake, and document management
  • Identify and implement automation opportunities to reduce manual work
  • Drive standardization and simplification across contract and legal workflows

3.  Training & Business Enablement

  • Support training on contract processes, systems (Agiloft, DocuSign), and legal tools
  • Develop clear, user-friendly guidance for common processes (NDAs, submissions, renewals)
  • Enable business stakeholders to independently and effectively navigate contract workflows

4.  Policy & Administrative Operations

  • Support policy management, including updates, version control, and system maintenance (PolicyTech)
  • Assist in coordinating policy rollout and communication
  • Support outside counsel invoice review and tracking
  • Provide administrative and operational support to the Legal team as needed

5.  Operational Agility & Team Support

  • Operate effectively in a small, nimble legal team-adapting to shifting priorities and evolving needs
  • Take on special projects and process improvement initiatives that enhance Legal team effectiveness
  • Act as a reliable operational partner, ensuring continuity and support across Legal activities
Qualifications

Required

  • Bachelor's degree or equivalent experience
  • 5+ years of experience in contract administration, legal operations or paralegal support
  • Experience with contract lifecycle management systems and e-signature platforms.
  • Strong organizational skills with high attention to detail
  • Ability to manage multiple priorities in a fast-paced, dynamic environment
  • Strong communication and cross functional partnership skills

Preferred

  • Bachelor's degree in Business or a related field or equivalent experience.
  • Experience supporting a corporate legal department in a matrixed organization
  • Exposure to legal technology optimization, automation, or AI-enabled tools
  • Experience supporting policy governance or compliance processes
  • Experience using Agiloft and Docu-Sign systems
