Job description

Growing and dynamic Non-Profit Organization is looking to hire Bilingual Spanish Front Desk Receptionist's
9 am – 5 pm
Monday to Friday
Approximately 3 months contract role, could go longer
Job Duties:
• Answers incoming phone lines, screens and routes calls as necessary, gives information to callers, takes messages, retrieves, records and delivers messages from after-hours answering machine, arranges and connects conference calls; greets, directs and assists visitors
• Monitors whereabouts and availability of office staff
• Sorts and routes incoming mail, prepares outgoing mail, arranges for special mail services (i.e., FedEx or UPS), monitors and distributes in-coming faxes; orders and distributes supplies
• Orders routine printing for office staff; provides light typing, filing, faxing, sorting/collating, envelope stuffing, photocopying and other similar tasks as needed or requested
• Maintains and updates general office rolodex and staff rosters, prepares check requests, completes and monitors billings; runs errands
• Maintains office and meeting room calendars, prepares conference and meeting rooms
• Opens/locks up office, and performs other similar routine clerical and light administrative support tasks
• Provides for a Welcoming environment for all incoming phone calls and visitors
• Maintain the appearance of the front office, including watering plants, keeping the kitchen clean and organized, make coffee, and ensure a regular supply of creamer, sugar, cups etc.
• Assists supervisor with managing filing system(s), billing records, correspondence, business documents, announcements/flyers and other records pertaining to general office management and functioning
• Works cooperatively with other staff to assure all elements for a successful program available as needed (office supplies, paperwork, room setup, equipment, inventory of stockroom etc.)
• As directed, perform, or assist other staff with performing light typing (35 wpm), retrieval and printing of computerized files and reports, filing, faxing, sorting/collating, envelope stuffing, photocopying, and other similar tasks as needed or requested.
• Keep agency directory updated (photo directory included)
• Maintain the appearance of the front office including but not limited to the kitchen, plants supply room, make coffee, and maintain an adequate amounts of supplies.
• Handle referrals, provide information to callers, trouble shoot resources and direct people to the appropriate person
Skills:
• Fluent in Spanish - spoken and written
• Must be able to bend, stoop, lift, and push up to 25 pounds or a regular basis, stand and move intermittently throughout the workday
• Models approach, mission and core values in all communication and correspondence.
• Proficient in Microsoft Word, Excel, and Outlook
• Great verbal communication skills, written communication and customer service
